Project Coordinator (with Project Accounting Support)

Full-Time
Department: Project Operations / Finance

Working closely with project managers, subcontractors, and accounting, the Coordinator helps ensure every project stays on time, within scope, and financially accurate.

Key Responsibilities

Project Coordination & Documentation

  • Assist project managers with schedules, work plans, and project milestones.
  • Maintain project records including contracts, change orders, submittals, safety documents, and closeout materials.
  • Coordinate communication between internal teams, vendors, subcontractors, and clients.
  • Prepare reports, meeting minutes, and updates for leadership and project stakeholders.

Procurement & Administration

  • Request project quotes, issue purchase orders, and track material deliveries.
  • Help coordinate subcontractor agreements, insurance certificates, compliance documents, and lien releases.
  • Support project kickoff and closeout processes, ensuring proper documentation.

Project Accounting Support

  • Collect and review invoices, subcontractor billing, timecards, and purchase orders for accuracy.
  • Enter project costs into the accounting system and support timely posting of project expenses.
  • Assist in preparing monthly billing (including T&M, progress billing, AIA forms, and retainage tracking).
  • Monitor payment status and follow up on outstanding billing documentation.
  • Support project financial reporting and update cost information as directed.

Reporting & Communication

  • Prepare weekly or monthly project reports, budget updates, and job cost summaries.
  • Communicate project progress, issues, and financial impacts to management and accounting teams.
  • Assist with forecast updates and help track cost-to-complete information.

Qualifications

  • Associate or Bachelor’s degree in Business, Construction Management, Accounting, or related field (or equivalent experience).
  • 1–3 years of experience in project coordination, administrative support, or financial support (construction experience preferred).
  • Familiarity with job costing or project billing is a plus.
  • Strong proficiency in Microsoft Office; experience with project or accounting systems (e.g., Vista (Viewpoint), Procore, Spectrum, Sage, QuickBooks) is helpful.
  • Excellent written and verbal communication skills, with sharp attention to detail.

Core Competencies

  • Organized and detail-focused
  • Collaborative team support
  • Strong communication and documentation skills
  • Ability to multitask and manage deadlines
  • Analytical thinking applied to data and financial tasks
  • Professional discretion and confidentiality
