The Salvation Army's Wisconsin and Upper Michigan Division is located in Wauwatosa, Wisconsin. The division is home to 26 Worship and Community Centers (Corps), 67 service extension units, a camp, as well as multiple homeless shelters, thrift stores and food pantries. Service extension units are branches of The Salvation Army in communities where Corps are not located but service is provided by committees of volunteers. As a whole, our organization is made up of thousands of officers, soldiers, adherents, employees, volunteers and other individuals all working together to bring the Gospel of Jesus Christ to all people, as well as working to meet the physical needs of those less fortunate. The Administrative Assistant to the Executive Director of Finance provides administrative support to the Executive Director of Finance, to assure the timely, effective, and efficient discharge of the duties of the Finance Department. This is to be accomplished in a professional and confidential manner.

About the role:

  • Prioritize work in a manner so that correspondence, reports, minutes, and other written communication is completed in a timely manner.
  • Review and prepare, in consultation with the EDOF, the agenda and meeting minutes for the weekly Divisional Finance Board meeting, facilitated through TSAMM. Ensure that items on the agenda are complete and ready for action by the Board, coordinate with the Corps Officers, Department Heads, and other administrative staff to ensure the timely processing of information. Prepare the image files and other information for the paperless DFB process.
  • Maintain Finance Department filing system, which includes complete and accurate records of the Divisional Finance Board, files on each operating unit for audit tracking, and files on correspondence to and from each unit and THQ.
  • Process correspondence, reports, proposals, information requests, as directed by the EDOF.
  • Maintain monthly calendar for the EDOF, including tentative appointments pending EDOF approval.
  • Provide information to Corps Officers, Corps Office Manager and Bookkeepers and other staff regarding policy and procedures for processing items to the Divisional Finance Board.
  • Prepare monthly thrift store P&L reports.
  • Manage and coordinate minutes for the Milwaukee County Finance Committee Meetings.Secure lunch for the meeting.
  • Maintain accounts, not limited to: Sam's Club Memberships, Divisional I-Pass, US Bank Corporate account, DHQ Amazon account, etc.
  • Maintain/Coordinate inventory of furnishings of DHQ Officers Quarters and Corps locations and DHQ building and remote staff items.
  • Provide administrative support to the Divisional Controller with regards to correspondence, activities and schedules as may be needed.
  • Maintain/Coordinate all bank authorizations for the WUM Division.

Education and Experience:

  • High School Diploma or equivalent, with 3-5 years administrative office experience.
  • Experience working with spreadsheets and database programs.
  • At least one year of bookkeeping experience.

Skills:

  • Must have excellent verbal and written communication skills and be able to relate well with Salvation Army Officers and non-officer professionals, inside and outside of the Army, and other support staff.
  • Strong organizational skills, including the ability to prioritize tasks.
  • Must be proficient in Microsoft Office 365.
  • Must have knowledge of the English language, spelling, letter/memo compositions.
  • Able to use general office equipment.
