Job Description

Job Title: Bookkeeping Assistant Status: Part time (8 hours/week)
Exemption Status: Non-exempt
Department/Location: St. Christopher Parish / Marana
Primary Function: Under the director of the pastor or other assigned manager, is responsible for recording and reporting of the weekly collections and other sources of revenue. May be asked to also assist with various bookkeeping functions, payroll, and assists in the administration of employee benefits. The Employee shall be a minister of the Gospel and Catholic Teaching both academically and behaviorally while at work and in his/her personal life, "...Live in a manner worthy of the call you have received." (Eph. 4:1)
Essential Duties and Responsibilities:
  • Recognize and support the unique Catholic Mission of the Diocese by speaking, acting, and instructing consistent with the teachings of the Roman Catholic Church. The employee may not espouse, in word or deed, any doctrine inconsistent with the teachings of the Roman Catholic Church.
  • Give evidence of living Gospel values by being an active member of a faith community and being open to the importance of a personal faith journey; strive to model the teaching of Jesus by attitude and example.
  • Foster communication and works collaboratively with all other employees.
  • Record weekly collections and other cash receipts.
  • Verify the accuracy and proper approval of all payroll time sheets.
  • Maintain payroll records and review payroll journal entries.
  • Assist in directing and administering employee benefits.
  • Oversee financial aspects of the parish and other related fundraisers as needed.
  • Work with financial auditors as needed.
  • May write and post journal entries to the general ledger.
  • May perform bank reconciliations.
  • May reconcile monthly credit card activity report to bank activity and credit card slips.
  • May analyze expenses and purchase practices for savings.
  • May maintain asset and vendor contract files.
  • May process payments to vendors and others, maintain payable files.
  • May track receivables and payables.
  • May track project expenditures
  • May prepare annual financial and other financial reports as necessary.
  • May assist in organization and preparation of Board meetings, committee meetings and special events.
  • Perform other duties as assigned.

Physical / Mental Requirements: Requires coordination and manual dexterity, normal mental and visual ability; ability to lift as required in normal office environment.
Required Activities: Walking; sitting; standing; stooping; reaching; talking; hearing; carrying; and keyboarding.
Basic Qualifications:
  • Excellent communications skills including written, and verbal.
  • Excellent project management skills and ability to manage multiple projects simultaneously.
  • Flexibility in assessing needs and strategies and adapt appropriately in a ministerial environment.
  • Carry out all responsibilities with balance, empathy, sensitivity, and patience; pay attention to detail and be well organized.
  • Apply leadership skills as required.
  • Type 50 WPM; proficient with 10 key calculators.
  • Ability to work under minimal supervision.
  • Professional bearing and clean and neat personal appearance.
  • The ability to successfully complete a criminal history and background check.
  • Ability to successfully pass a bookkeeping test.

Education and Experience:
  • Bachelor's degree in accounting, Business, Public Administration, a related field from an accredited institution, or equivalent experience.
  • Five years' experience as an bookkeeper or accountant.
  • Proficient with computer skills including Microsoft Word and Excel.
  • Working knowledge of automated accounting and payroll systems, QuickBooks preferred.

Other/Preferred Skills:
  • Bi-lingual (English/Spanish)
  • CPA Certification
