HR Administrator / Bookkeeper

Job Summary

We are seeking a highly organized and detail-oriented HR Administrator / Bookkeeper to manage human resources operations and financial bookkeeping for our multi-location business. The ideal candidate must be dual-qualified, possessing strong hands-on experience in HR administration, recruiting, interview coordination, and employee onboarding, as well as core bookkeeping and transaction reconciliation. This role is crucial for maintaining financial accuracy, building our team culture, and supporting the smooth operation of our various business locations.


Key Responsibilities

HR Administration & Talent Acquisition:

  • Lead candidate sourcing, job postings, resume screening, and initial candidate outreach across all locations.
  • Schedule, coordinate, and participate in interview processes with hiring managers.
  • Manage full-cycle employee onboarding, including offer letters, new-hire paperwork (I-9, W-4), orientation, and account setup.
  • Oversee employee offboarding processes, exit documentation, and record updates.
  • Maintain confidential personnel files, active employee databases, and performance tracking records.
  • Serve as the primary point of contact for employee questions regarding workplace policies, procedures, and culture.
  • Ensure company adherence to federal, state, and local labor laws and workplace compliance standards.

Bookkeeping & Financial Support:

  • Maintain accurate and up-to-date financial records for all business locations in QuickBooks.
  • Record and categorize all income, sales, and expenses, ensuring proper allocation.
  • Process Accounts Payable (AP) and Accounts Receivable (AR).
  • Prepare routine financial reports, including profit and loss statements and balance sheets.
  • Reconcile transactions and bank/credit card statements between multiple business locations on a regular basis.
  • Investigate and resolve any financial discrepancies or variances in a timely manner.

Administrative & Communication:

  • Follow up on emails and other communications from stakeholders, including employees, applicants, vendors, and management.
  • Maintain organized digital and physical files for personnel and accounting records.
  • Assist with other administrative duties as needed to support daily operations.

Qualifications

  • Dual Qualification Required: Proven experience performing both HR administrative duties (recruiting/onboarding) and bookkeeping functions.
  • Proficiency in bookkeeping software (e.g., QuickBooks) and applicant tracking/HR systems.
  • Strong knowledge of recruiting practices, interview coordination, employee onboarding, and labor compliance.
  • Strong written and verbal communication skills to handle candidate outreach and internal correspondence.
  • Excellent attention to detail, strong organizational skills, and high integrity with confidential data.
  • Ability to work independently, adapt to shifting priorities, and manage multi-location needs.
  • Experience with multi-location or restaurant business operations is a major plus.
  • Bachelor's or Associate's degree in Human Resources, Business Administration, Accounting, or a related field preferred.
