Bookkeeper / Executive Assistant
Job Type: Full-Time
Schedule: Monday-Friday, 8-hour shift (Flexible start time between 7:00 AM and 8:00 AM)
About the Position
We are looking for a reliable, detail-oriented Bookkeeper / Executive Assistant to join our team. This position combines bookkeeping, administrative support, and executive assistance in a fast-paced office environment. The ideal candidate is highly organized, enjoys working with numbers, communicates well with others, and takes pride in keeping projects and documentation accurate and organized.
You will work closely with our office team and engineers to ensure daily operations run efficiently while maintaining accurate financial and administrative records.
Responsibilities
Bookkeeping
  • Process customer invoices using the latest version of QuickBooks.
  • Reconcile invoices, payments, and accounts.
  • Process customer credit card payments over the phone.
  • Track customer credits and outstanding balances.
  • Perform data entry for quantities, shipping costs, and other accounting information.
  • Maintain accurate financial records and reports.

Administrative & Executive Support
  • Manage executive calendars and appointments.
  • Coordinate travel arrangements, including flights and hotels.
  • Answer and direct incoming phone calls.
  • Prepare, organize, and maintain client files, service reports, warranty documents, and project packets.
  • Email customers, vendors, and team members professionally.
  • Ensure documentation packets are complete by following established checklists.
  • Maintain organized electronic and paper filing systems.

Office Support
  • Support a collaborative office team of five employees working with engineers.
  • Order lunches and assist with office hospitality.
  • Help maintain a clean and organized office and break room.
  • Assist with additional administrative projects as needed.

Qualifications
  • Minimum 2 years of bookkeeping or accounting experience preferred.
  • Experience with QuickBooks (latest version preferred).
  • Proficiency in Microsoft Excel and Microsoft Office.
  • Strong data entry skills with a high level of accuracy.
  • Excellent organizational and time management skills.
