Overview
Sunriver Resort is hiring for a full-time, year-round position with the Lodge Food & Beverage Team! The Food & Beverage Administrative Assistant is responsible for providing administrative support to all resort Food & Beverage outlets. The Administrative Assistant will take on the responsibility of the associate relations of outlet staff. He/She/They will act as a liaison between Human Resources and F&B team members. He/She/They will assist in maintaining the AAA Four Diamond Standards. The Administrative Assistant will always conduct themselves in a manner which supports the Core Values of Sunriver Resort: Trust, Open & Honest Communication, and Commitment.
He/She/They shall strive to deliver exceptional service to all internal and external guests at all times. In this role, they are responsible for exemplifying the Sunriver Resort Culture and actively supporting our Vision and Mission to be the destination of choice for our guests, owners, and associates.
Responsibilities
  • Provides general administrative support to Food & Beverage and Culinary Management
  • Answers phone calls for the Lodge outlets when host/MOD is not available
  • Book and contract bands and musicians for performances throughout the Lodge Outlets including The Backyard and the Owl's Nest.
  • Working with group contacts and clients, Book and Contract Special Events including Private Room Dining
  • Communicate with Sales and Conventions teams to ensure their group events in Lodge Food & Beverage spaces are successfully executed
  • Attends weekly resume (groups in house) meeting in person or via Teams
  • Ensures group bookings are updated in Delphi, 7Shifts, RESY and F&B Calendar
  • Organize and update group event menus
  • Review final billing for group events and edit if necessary
  • Creates Purchase Orders and Check Requests through Birchstreet including Expense Reports
  • Responsible for processing payroll and monitoring time corrections for all Lodge Food & Beverage Outlets in UKG
  • Thorough knowledge and understanding of Predictive Schedule to ensure departmental compliance
  • Monitors and ensures proper compliance with tip claiming sheets and minor break logs
  • Keeps current and accurate associate manual time sheets for all associates
  • Picks up paychecks, manages distribution and returns signed documents to payroll
  • Ensures accurate statuses and updates forms as necessary for associates with multi job codes
  • Attends bi-monthly team meetings
  • Upkeep of all O.L.C.C. and Food Handlers compliance with F & B associates
  • Ordering of office supplies
  • Assists manager with associate onboarding/departure paperwork
  • Reports any needed repair in SMS work order
  • Responsible for the organization of the Meadow's folder on "V" drive
  • Communicates all pertinent information to the outlet teams
  • Always maintains a professional demeanor and attitude
  • Reports to work on time and according to posted schedule
  • Maintains a professional appearance. Follows all Sunriver Resort dress code standards
  • Remains alert, courteous and helpful to the guests and colleagues at all time
  • Performs other related duties as assigned

Qualifications
EXPERIENCE & EDUCATION:
  • High school diploma or equivalent required
  • At least one year Food & Beverage experience required
  • At least one year of customer service experience required
  • At least one year of supervisory experience preferred
  • Prior hospitality experience preferred
  • Two or four year degree in hospitality related field preferred
  • At least six months POS system experience preferred
  • Prior cash handling experience required

JOB REQUIRMENTS:
  • Must be a United States citizen or possess a valid work permit
  • Must be at least 21 years of age
  • Must have valid driver's license and meet resort driving standards
  • Must be able to read, write and speak English
  • Must have excellent basic math skills
  • Must possess valid OLCC card upon hire
  • Must possess valid Food Handler's card upon hire
  • Must have excellent computer skills
  • Must have strong working knowledge of Microsoft Office programs
  • Must have excellent leadership skills
  • Must be a positive example for staff

WORKING CONDITIONS:
