Essential Functions
The Upward Bound-Rural (UBR) Administrative Assistant performs clerical duties and works closely with the Upward Bound-Rural Project Staff to assist in the day-to-day activities, assuring Academic and Summer Component functions are planned, executed, and communicated to the program members. This part-time staff member will work closely with the Success Coach and Director to ensure program success in meeting the goals and objectives.
Job Duties and Responsibilities
  • Assists the Success Coach and Director with all Academic and Summer Component functions.
  • Assists with requisitions and submitting payments, as needed.
  • Maintains student records through the Blumen database files, documents in student files, and keeps the Remind platform updated with student and guardian contact information.
  • Schedules staff appointments, as needed, and prepares for meetings.
  • Refers student questions and concerns to Upward Bound-Rural professional staff, Success Coach, and Director.
  • Works and collaborates with other departments as needed.
  • Creates program newsletters and flyers, maintains social media accounts, and updates the

annual activity binder, with the supervision and guidance of the Success Coach and Director.
  • Works closely with the Project Director to forecast future budget needs.
Maintains all inventory, supplies, snacks, and first aid kits.
  • Assists in planning and preparing for all Upward Bound-Rural Saturday Meetings, the 6-week

Summer Program, workshops, activities, etc.
  • Utilizes various computer programs, including Microsoft Office 365, Adobe, Blumen, etc.
  • Performs extrarelated duties as may be assigned by the Upward Bound-Rural Project Director.
  • Annual Performance Report (APR) through the Blumen database.
  • Operates and maintains office equipment such as laptops, copiers, calculators, etc.

Qualifications
Minimum Qualifications:
High School degree or GED equivalent.
One year of experience in a clerical or office position.
Preferred Qualifications:
Associates Degree
Experience with TRIO or grant-funded programs preferred.

Travel Requirements:
The UBR Program for activities or events.
Environment:
The UBR Administrative Assistant will conduct most functions from the office, located at Coastal Bend College in Beeville, TX. There will be some interaction with students in a fast-paced environment.
