Job description

Job Description Webster county is looking for an Administrative Assistant for our Dental program. The Administrative Assistant supports the financial and administrative operations of the Health Department by processing invoices and payments in accordance with county, state, and federal requirements. This position helps ensure accurate and timely payments to vendors and service providers supporting public health programs, grants, and departmental operations.

The position also supports the Health Department's dental and oral health programs through accurate data entry, billing, and recordkeeping. Duties and Responsibilities Essential Duties and Responsibilities: Review, verify, code, and process invoices for payment in accordance with Health Department policies and applicable requirements. Ensure invoices are properly approved and charged to the appropriate programs, grants, or funding sources.

Process payments, including checks, ACH transactions, and electronic fund transfers, within established timelines. Maintain accurate and well-organized accounts payable records to support financial reporting and audit requirements. Reconcile vendor statements, research discrepancies, and coordinate with vendors and internal program staff to resolve payment issues.

Respond to inquiries from vendors, staff, and program managers regarding invoice status, payments, and related financial matters. Enter and maintain accurate dental program data, billing information, and patient records. Prepare, organize, and maintain dental records in accordance with applicable privacy and confidentiality requirements.

Assist with dental billing, documentation, and recordkeeping to support oral health program operations. Support school-based and community dental outreach activities, including program coordination and related administrative tasks. Answer and route incoming telephone calls, respond to general inquiries, and provide courteous customer service to the public.

Perform other administrative and clerical duties as needed to support Health Department programs and operations. Qualifications Required Qualifications: High school diploma or equivalent. One to two years of experience in accounts payable, accounting, fiscal support, or a related field.

Valid Iowa driver's license. Experience working with electronic recordkeeping systems. Proficiency in Microsoft Excel and other standard office software.

Strong attention to detail with demonstrated accuracy and organizational skills. Ability to manage multiple priorities and meet deadlines in a regulated environment. Ability to maintain confidential and sensitive information in accordance with applicable privacy requirements.

CPR/AED, Bloodborne Pathogens, and HIPAA training/certification required; training may be provided upon hire. Additional training may be assigned as required. Preferred Qualifications: Associate's degree in accounting, business administration, or a related field.

Experience in a dental, medical, public health, or similar healthcare setting. Knowledge of dental terminology and dental recordkeeping practices. Experience with Medicaid or other public insurance programs.

Familiarity with grant-funded programs, funding requirements, and cost allocation.
