Job description

We are hiring a Fueling Billing Specialist in our Corporate office to review, process, and maintain records for fuel billing, ensuring accuracy and compliance in fuel-related transactions and reporting. This includes assistance with fuel inventory accuracy, as well as processing and reconciling vendor invoices.

Key Responsibilities:

  • Complete Daily Fuel Billing:
    • Audit BOLs and fuel delivery documentation to ensure accuracy
    • Import fuel delivery files into ERP (PDI Enterprise) for processing
    • Generate billing to all customers
    • Ensure third party billing is processed, reviewed for accuracy, and billed to customers
    • Review and match vendor payments to billed deliveries for posting
  • Process Daily Fuel Price Updates and Verification
  • Complete Weekly Freight Billing
  • Maintain Freight Rates and Fuel Surcharges
  • Assist with Month End Close Reviews of Fuel Deliveries and Inventory
  • Create and Maintain Full Documentation of Processes and Procedures
  • Research and Resolve Billing Discrepancies
  • Communicate with Internal and External Customers/Vendors
  • Other Duties:
    • Identify and implement process improvements in fuel billing
    • Provide necessary documentation for audits
  • Accuracy with a high attention to detail
  • Basic understanding of Accounts Receivable and Accounts Payable functions
  • Proficiency with Microsoft Office with a strong focus on Excel
  • Experience in the fuel industry is highly desirable
  • Proficiency in accounting software and systems, with emphasis on PDI Enterprise
  • Excellent organizational, documentation, and file management skills
  • Ability to work independently, as well as in a team environment
  • Customer service oriented with effective communication for both written and verbal
