PRINCIPAL SUMMARY:


The Billing Administrative Assistant provides vital support for billing and compliance duties for applicable divisions of VersiCare. Support functions included within these duties range from training and assisting staff and caregivers with use of mobile app to our billing and reporting processes. The Billing Administrative Assistant is responsible for compliance requirements as assigned.

Consistently exercises discretionary judgment in administering VersiCare systems and processes within operations and payroll.


ESSENTIAL FUNCTIONS


1. Payroll Support

  • Review and audit submitted visits from caregivers along with the required appropriate documentation against recipient authorizations.
  • Investigate and resolve issues that are identified during visit, notes, POC review, and invoicing.
  • Identify and communicate discrepancies to the appropriate party (i.e.
    recruiter, caregiver and/or recipient).
  • Answer caregiver inquiries regarding visits, documentation, or payroll issues.
  • Submit payroll and billing data for audit.
  • Compute totals and compare results with recorded entries.
  • Prepare and submit all manual or electronic billings according to each client’s specific requirements.
  • Document and maintain records of all billings for auditing/archival purposes.
  • Review, resolve and resubmit rejections from previous billing cycles within a week.


2. HHA Support

  • Support HHA Support Specialist in conducting effective virtual HHA app training classes, answering questions and problems with the app.
  • Effectively engage caregivers.
  • Support in creating HHA Mobile IDs and reset passwords.


3. Administration

  • Monitor and follow up on GPS variances resulting from documented visits.
  • Maintain recipient guardian roster and ensure HHA database has current information.
  • Maintain recipient visit note files and upload to payor software as contracted.
  • Other compliance requirements as assigned.
  • Document recipient/caregiver activity in the applicable database.
  • Responsible for reviewing, revising, and creating process documentation pertaining to areas of responsibilities.
  • Apply VersiCare processes and procedures in all job duties.
  • Update provider and recipient/client activity in the HHA database.
  • Compile reports on statistics such as accounts receivable or other items pertinent to the operations of the business.


OTHER DUTIES

  • Other projects and activities as assigned.
Requirements:

WORKING CONDITIONS AND PHYSICAL REQUIREMENTS

  • Duties are performed using a hybrid working model combining remote work with office work. The needs of the business will determine the week-by-week structure.
  • Occasional trips to client/prospect locations require outdoor travel and potential exposure to unpleasant weather.
  • Ability to sit for extended periods of time and possesses the normal range of body motion.


EDUCATION AND/OR EXPERIENCE

  • Minimum one year of general business and office experience
  • High school diploma.


KNOWLEDGE AND SKILLS

  • Demonstrates critical thinking by exhibiting sound and accurate judgement and includes the appropriate people in decision making.
  • Exhibits effective communication and interpersonal skills including the four quadrants of Emotional Intelligence: self-awareness, self-management, social awareness, and relationship management.
