Job Description
New York City based Publishing company seeks a highly organized, Bi-Lingual Sales Administrative Assistant for our Latin America market.
Responsibilities:
• Create and edit sales presentations and sales materials using PowerPoint and Excel
• Interacting with customers and outside sales representatives
• Send book samples to customers (MUST be able to lift 25-30 pound boxes)
• Process and track purchase orders through internal software system
• Manage account order history of confirmed projects
• Tracking inventory utilizing Excel database
• Manage/Assist with special projects as needed
• Set up new accounts, including payment terms, and keep information updated and current
• Create invoices for orders and track payments
• Create contracts, as well as, track and maintain customer's files
Qualifications
Desired Skills and Requirements:
• Advanced Microsoft Excel, Word and PowerPoint skills
• Strong Microsoft Outlook skills, including calendar management
• Excellent written and verbal communications skills
• Ability to prioritize, multitask and have excellent time-management skills
• Must be able to meet strict deadlines
• Ability to work independently and take initiative
• Great attention to detail and excellent follow-up skills
• Professional appearance
• Ability to work well with all levels of management and staff, as well as, clients and vendors
Education/Experience:
  • Fluency in Spanish is a MUST
  • Bachelor's degree preferred, Associate's degree required
  • At least 2 years of work experience in an administrative role
  • Prior publishing or marketing experience is preferred, but not required
