Summary
The Benefits Coordinator supports the organization by managing employee leave programs, benefits administration, and payroll processes with a strong focus on accuracy, compliance, and employee service. It serves as a key point of contact for employees, providing clear guidance on benefits, leave options, and enrollment processes while ensuring proper documentation and regulatory adherence. The position requires strong attention to detail, solid HR compliance knowledge, and the ability to handle confidential information while working effectively in a fast paced, employee focused environment.


Note: this is an IN-OFFICE (Monday - Friday) position (not hybrid or remote).

Essential Duties and Responsibilities:
Manage STD, LTD, and FMLA claims, including employee guidance, coordination with carriers, documentation, and compliance tracking
Support ADA accommodations by coordinating the interactive process and maintaining required documentation
Serve as a liaison between employees, managers, healthcare providers, and insurance carriers
Track leave timelines, benefit impacts, and return to work requirements, including complex cases involving overlapping benefits
Assist with employee benefits, including Open Enrollment, new hire enrollments, benefit changes, and ongoing employee support
Act as the primary point of contact for benefit questions, forms, and new enrollment introductions
Maintain confidential employee benefit files in both physical and electronic formats
Review and send monthly Fidelity invoices to Finance and assist with annual 401(k) audits
Respond to employee inquiries related to benefits, leave, and required documentation
Assist with weekly and biweekly payroll processing in Paylocity, including updating benefit deductions, maintaining payroll notes, and filing payroll documents
Other duties as assigned

Experience and Skills:
Bachelor's degree in Human Resources, Business Administration, or related field (or equivalent experience)
3+ years of payroll processing experience, preferably in a multi state environment
Strong knowledge of federal, state, and local regulations related to payroll, benefits, and employment laws
Advanced understanding of STD, LTD, FMLA, ADA, and overall leave compliance requirements
Proficiency with Paylocity HRIS and payroll functionality
Exceptional organizational, analytical, and problem solving skills with strong attention to detail and accuracy
Ability to manage complex and confidential information with professionalism and discretion
Excellent communication and interpersonal skills, with a clear and supportive approach when working with employees
Solid understanding of benefits administration and related compliance requirements
Physical Demands/Work Environment:

Sitting for prolonged periods at a desk while using a computer.
Typing and using a mouse frequently throughout the workday.
Occasionally standing and walking within the office to retrieve files or documents.
Lifting and carrying light office supplies, such as paper or small packages, typically weighing up to 10 pounds.
Reaching and bending to access file cabinets and shelves.
Using a telephone for extended periods to communicate.
Visual acuity to read and interpret documents, emails, and computer screens.
Hearing ability to understand and respond to customer inquiries and communicate with colleagues.
