We are looking for a Front Desk Receptionist to join our team at Assurance of Hope Institute Inc., a trusted mental health agency dedicated to providing exceptional care and support to our clients. As the first point of contact for our clients, you will play a critical role in ensuring smooth operations and providing a welcoming environment. Responsibilities
  • THIS ROLE REQUIRES PUNTACULAITY, MULTITASKING AND INTERACTING WITH CLEINTS WHO MAY BE DISTRESSED.
  • Greet and assist visitors in a friendly and professional manner.
  • Perform data entry tasks accurately and efficiently, ensuring all information is up-to-date.
  • Maintain organized records and files, including proofreading documents for accuracy. Greet and assist clients in a friendly, professional manner.
  • Manage and respond to emails on b a consistent basis.
  • Handle client intake, ensuring accurate collection of personal and insurance information.
  • Schedule and confirm appointments for clients with clinicians and therapists.
  • Manage a busy switchboard, answering calls, directing inquiries, and taking messages as necessary.
  • Submit prescriptions and manage medication requests with confidentiality and accuracy.
  • Maintain client files, ensuring all documentation is complete and up-to-date.
  • Perform general administrative duties such as filing, faxing, and handling incoming/outgoing mail.
  • Support the Clinical Department and other staff as needed to ensure efficient office operations.
  • Handle clerical duties such as filing, scanning, and organizing office supplies.
  • Demonstrate excellent time management skills to prioritize tasks effectively.
  • Should be willing to complete prior authorization on cover My Meds Portal, when necessary. (Would need to collaborate with providers, if needed).
Requirements
  • Associates or Bachelors degree preferred.
  • Previous experience in a front desk or administrative role, preferably in a healthcare or mental health setting.
  • Strong communication skills, both verbal and written.
  • Ability to maintain confidentiality and adhere to HIPAA guidelines.
  • Proficiency in Microsoft Office Suite and experience with scheduling software.
  • Exceptional organizational skills and attention to detail.
  • A compassionate and empathetic approach when interacting with clients.
  • Ability to multitask and remain calm under pressure
  • PREFERRED: Bilingual (Spanish/Haitian Creole)*
Job Requirements:
Three Days weekly (9:00am - 5:00pm) and Every Other Saturday (9:00am - 5:00pm).
