Overview

The Events & Logistics Coordinator will be organized and proactively support daily events planning, operations, and departmental communication. The ideal candidate will act as a operational support to the Director of Events and Logistics, mastering internal event management systems, helping optimize workflows, and ensuring seamless hospitality experiences for visiting groups and internal AJU events. This role requires excellent interpersonal skills, a detailed tech-savvy approach to organization, and the ability to collaborate across departments.

Primary Responsibilities

  • System Mastery & Knowledge Sharing: Mastery of the event management software, including entries, billing, and scheduling workflow. Act as an expert to help train and support relevant staff members on best practices.
  • Calendar & Schedule Management: Assist in converting, updating and streamlining complex campus scheduling for multiple departments to ensure operational efficiency.
  • Event Logistics: Help oversee events by verifying pre-arrival set-up, greeting staff and guests and assist with event break-down.
  • Guest Relations: Assist with campus tours for perspective clients and provide operational coverage and hospitality for visiting groups.
  • Operational Effectiveness: Partner with leadership to audit, may suggestions for improved file organization, creating a modern, secure and accessible work environment.
  • Client Coordination: Assist in reach out to clients to proactively secure final schedules, signed paperwork, security lists, and other final details as needed.
  • Cross Departmental Collaboration: Serve as a bridge between various departments to facilitate effective communication, align goals, and keep all team informed, especially as changes occur in the planning process.
  • Strategic Participation: Attend department meeting and actively contribute to improve processes.

Qualifications & Experience

  • Previous experience event support or customer service preferred.
  • Ability to remain calm and professional under pressure
  • Must have high attention to detail and sense of urgency.
  • Must tech savvy and be able to communicate effectively.
  • Must have a positive, professional and service-oriented attitude.
  • Must be able to maintain predicable and reliable attendance.
  • Following health and safety regulations to maintain a secure environment.
  • Valid driver's license required (operation of company vehicle to transport between areas of the campus is required for this position).
  • Must be authorized to work in the United States.
  • Must be able to work evenings and on weekends, including holidays.  

Physical Requirements & Work Environment

  • The role requires the ability to remain standing for extended periods of time and to perform repetitive tasks such event set-up assistance.
  • Must be able to lift, push, pull and carry objects (25 lbs.), such as catering supplies.
  • Occasional movement throughout campus and to off-site locations may be required.

Compensation

  • This is a temporary part time position. This is a non-exempt position with pay range of $18.00 to $20.00 per hour.
