Job description
Description Reports to the Director of Recreation and to the Mayor in the Director's absence. Supervises staff assigned by Director. This is a responsible administrative and managerial position, which is responsible for organizing, supervising, and coordinating recreation sports programs and activities.
This position is also responsible for supervising staff and volunteers. Examples of Duties Directly responsible for T-Ball/Softball/Baseball programs which may include, but not be limited to, men's women's, co-ed, and youth leagues. Recruit, hire, train, schedule, supervise, and evaluate part-time staff, league supervisors, scorekeepers, officials, and seasonal employees.
Coordinate program schedules facilities, fields, equipment, instructors, officials, scorekeepers, league supervisors, and support staff. Attend league meetings, coaches' meetings, manager meetings, drafts, and other recreation-related meetings as required. Ensure fields, parks, and recreation facilities are properly prepared, maintained, clean, safe, and ready for scheduled activities.
The Recreation Supervisor will handle all day-to-day situations and problems within the leagues and programs and be responsible for the game officials who will be at all fields at pre-assigned days. Supervise game officials and ensure proper coverage at all scheduled contests. Serve as the primary contact for daily league operations by resolving participant concerns, interpreting league rules, verifying standings, and managing game-day operations.
Confirm recreation staff payroll sheets and timecards and submit them to the Director of Recreation for approval. Schedule and supervise ground crew personnel responsible for field preparation, park maintenance, and restroom cleanliness. Spend evenings, weekdays, and weekends as necessary to ensure the efficient operation of recreation programs, leagues, tournaments, and special events.
Prepare schedules, registration reports, attendance records, league standings, and other program documentation. Monitor field and park conditions and determine, in coordination with the Director of Recreation, whether games or activities should be postponed or canceled due to weather or safety concerns. Attend to any other activities or daily functions as required in the absence of the Director of Recreation or as assigned.
Assist the Director of Recreation in developing, administering, and monitoring departmental budgets. Assist in developing marketing materials, promotional campaigns, program guides, social media content, and community outreach initiatives. Evaluate recreation programs and recommend improvements to increase participation, efficiency, and customer satisfaction.
Build and maintain positive relationships with participants, coaches, volunteers, schools, community organizations, and residents. Assist with tournaments, camps, seasonal events, and other department-sponsored activities. Perform daily operational duties in the absence of the Director of Recreation and complete other assignments as directed.
Typical Qualifications Considerable knowledge of the principles, techniques, and responsibilities of planning, promoting, and organizing of recreational activities for all age groups. Completion of a standard high school course and supplemented by a college level degree in recreation; or equivalent combination of experience and training which provides the required knowledge, skill, and abilities. Strong knowledge of youth and adult athletic leagues and recreational programming.
Ability to develop plans and programs on a short- and long-term basis. Ability to prepare and present sports in a concise and clear manner. Ability to coordinate and supervise the work of full time and part time program and office staff.
Ability to organize multiple programs and events simultaneously. Ability to adapt programs to the particular needs of the participants. Dependability, good physical condition, flexible working hours including week-ends and evenings as necessary and scheduled.
Ability to establish and maintain effective working relationships with staff, volunteers, coaches, officials, community organizations, and the public. Knowledge of athletic field preparation, facility management, and risk management practices. Work is performed in both office and outdoor environments.
Ability to supervise, motivate, and evaluate seasonal and part-time employees. Excellent leadership, communication, customer service, and conflict-resolution skills. Requires frequent evening, weekend, and holiday work based on program schedules.
Requires walking, standing, lifting equipment, and working in varying weather conditions. Must respond to changing field conditions and operational needs during recreation activities. Coordinate with independent contractors and third-party program providers, including sports camp operators, tennis instructors, and other recreation service providers, to schedule facility use, ensure compliance with department policies, execute facility use agreements, and provide quality recreational opportunities for the community.
