Job description
The University Honors Program (UHP) requires an experienced, highly professional Staff Assistant III to support a growing, nationally recognized program that is a critical part of Utah State University’s academic mission. This position provides high-level administrative and operational support, including executive support for the Executive Director, management of daily office operations, coordination of events and programming, communications, and student and faculty services.
This Staff Assistant III position requires exceptional organizational skills, sound judgment, attention to detail, and the ability to independently manage complex administrative responsibilities while collaborating with a wide range of stakeholders to advance the program’s long-term initiatives.

Office management and administrative/staff support (40%)
- Manage and organize daily office operations, including phones, correspondence and mail, records, databases, filing systems (Box), and office processes.
- Provide administrative support to the Executive Director, including calendar management, scheduling, travel coordination, and meeting logistics.
- Coordinate UHP events and other programming, meetings, office inventory, equipment, facilities, and purchasing.
- Greet and direct visitors, representing the program in a positive, professional manner.
- Identify opportunities to improve office processes and efficiency.
Communication and Coordination (30%)
- Serve as primary point of contact for students, faculty, staff, other departments, and various stakeholders with highly varied and complex questions and/or problems concerning the activities and operations of the UHP.
- Draft, edit, and distribute correspondence, reports, newsletters, presentations, and marketing materials.
- Maintain and update the UHP website and other communications.
- Coordinate with campus partners to support program operations and initiatives.
Student and Faculty Support (25%)
- Assist students, parents, faculty, and the public with admissions, curriculum, events, policies, and program information.
- Support UHP recruiting activities, student ambassador programs, orientation, and Honors Connections events.
- Coordinate admissions communications and maintain student records and databases.
- Assist with student employee training and the processing of research, travel, and professional development funding requests.
Other (5%)
- Participate in professional development, including courses, training, conference travel, or other appropriate forms of professional development.
Minimum Qualifications:
- Four years of related office administrative experience; OR an associate degree/technical training plus two years of office-related experience; OR a bachelor’s degree is required.
Preferred Qualifications:
- Advanced proficiency with Microsoft Office applications, particularly Excel
- Experience in budgeting and/or accounting
- Experience working in higher education, preferably with high-achieving students
- Experience with USU systems, including Banner and Canvas
- Experience with USU and UHP policies and procedures
Knowledge, Skills, and Abilities:
- Excellent organization, time management, and attention to detail
