Role Overview

The Banking Operations Specialist is a hands‑on operations position responsible for supporting the day‑to‑day operational functions of Bank19 and helping ensure that banking transactions, systems, processes, and customer activities are completed accurately, efficiently, and in accordance with established policies and regulatory requirements.

This position supports a broad range of community banking functions, including deposit operations, electronic payments, loan servicing, core system maintenance, account administration, reconciliations, and operational reporting. The ideal candidate will bring practical banking experience, strong attention to detail, sound judgment, and the ability to identify and resolve operational issues.

Bank19 is continuing to enhance its systems, products, processes, and operational infrastructure. As a result, this role is well suited for an individual who is comfortable with change, willing to learn new systems, and interested in helping improve how work is performed. The successful candidate will have opportunities to assist with process development, system implementation, procedure documentation, new product rollout, and other operational projects as the Bank continues to evolve.

While the primary focus of this position is bank operations, the Banking Operations Specialist should also have a working knowledge of community bank branch operations and be willing to assist with customer‑facing and branch activities when needed.

Essential Functions
  • Support daily Deposit Operations, Loan Operations, Payment Operations, and other core banking activities.
  • Perform account maintenance, transaction processing, payment processing, rate and term changes, recurring payments, and other routine operational functions.
  • Assist with ACH processing, wire transfers, debit card administration, electronic banking, and other payment‑related services.
  • Review daily operational reports and exception items and assist with identifying, researching, and resolving discrepancies.
  • Support deposit account servicing, including account maintenance, ownership changes, electronic statements, stop payments, returned items, overdraft‑related activity, and other servicing functions.
  • Assist with loan servicing activities, including loan boarding, payment processing, account maintenance, collateral tracking, participation payments, and related system updates.
  • Assist with daily and monthly reconciliations involving operational accounts, settlement accounts, general ledger accounts, clearing accounts, and other assigned accounts.
  • Support Accounts Payable and other operational accounting functions as assigned.
  • Assist with debit card issuance, maintenance, disputes, fraud‑related issues, and customer inquiries.
  • Support ACH and wire processes in accordance with established procedures, approval authorities, NACHA Rules, and internal controls.
  • Assist with customer account monitoring and operational reviews designed to identify unusual activity, system errors, incomplete documentation, or potential operational risk.
  • Work with the Bank's core system and other banking platforms to complete operational tasks, maintain accurate information, and resolve system issues.
  • Assist with implementation and testing of new banking products, services, system upgrades, and operational enhancements.
  • Help develop and maintain operating procedures, work instructions, checklists, forms, and other operational documentation.
  • Identify opportunities to improve existing processes and communicate recommendations to the Operations Manager or other appropriate leadership.
  • Assist with the development and rollout of new deposit products, electronic banking services, payment products, and operational processes.
  • Support operational compliance with applicable banking regulations and internal policies, including requirements associated with ACH, wires, Regulation E, Regulation CC, BSA/AML, customer identification, and funds availability.
  • Assist with internal audits, regulatory examinations, operational reviews, and remediation activities when requested.
  • Coordinate with third‑party vendors and service providers to resolve operational issues and support system implementation or maintenance activities.
  • Provide backup assistance to branch personnel, including teller transactions, new account activities, loan payments, customer service, and other branch functions when business needs require.
  • Participate in employee training and help communicate new or revised operational procedures.
  • Perform other duties and special projects as assigned.
Qualifications
  • Working knowledge of community bank operations and familiarity with several areas such as deposit operations, loan servicing, ACH, wire transfers, card services, electronic banking, reconciliations, or branch operations.
  • Strong attention to detail and commitment to transactional accuracy.
  • Ability to work comfortably with numbers and identify discrepancies, unusual activity, and potential errors.
  • Strong problem‑solving and critical‑thinking skills.
  • Ability to learn banking systems, products, procedures, and regulatory requirements.
  • Good understanding of internal controls and the importance of accurate documentation within a regulated banking environment.
  • Ability to organize and manage multiple responsibilities while meeting established deadlines.
  • Effective written and verbal communication skills.
  • Ability to work independently while also functioning effectively as part of a small, collaborative team.
  • Willingness to ask questions, learn unfamiliar processes, and take initiative in resolving operational issues.
  • Ability to adapt to changing systems, procedures, priorities, and responsibilities.
  • Demonstrated interest in process improvement and willingness to help build or improve operational procedures.
  • Proficiency with Microsoft Office applications, including Excel, Word, and Outlook.
  • Experience with core banking systems and other financial institution software is preferred.
Education and Experience

Generally, 2–5+ years of banking experience involving operations, deposit servicing, loan servicing, electronic payments, branch operations, or a related banking function.
