About the Role:
The Trust Operations Supervisor - Asset Valuations is responsible for managing all aspects of the team's transactional and account activity processing and personnel. In partnership with the team manager, responsible for maintaining efficient operations, quality of service, and compliance standards across multiple asset and client types. Oversee the daily operations of the team. Review and interpret client submissions to successfully accomplish processing activities. The primary goal of the team is to ensure compliant, accurate, and timely processing of client, asset sponsor, and third-party requests.
Responsible for the day-to-day leadership of the team, including mentoring and coaching in a challenging and ever-changing work environment. Ensure all team-related goals pertaining to operational excellence and client service are met or exceeded. Work collaboratively with multiple internal and external partners and proactively pursue alternative ways to gain efficiencies related to team processing activities.
  • Review team processing activities and approve securities transactions in the trust accounting system.
  • Ensure all activities and transactions are processed timely and accurately according to the relevant documentation, incorporating control standards to reduce operational and regulatory risk.
  • Ensure all documentation related to activities is appropriately archived and noted in Salesforce.
  • Oversee and monitor daily team processes to ensure all deadlines are met and processing is completed in a timely, accurate manner and aligned with quality-control expectations.
  • Oversight activities include quality assurance review of team processes to ensure adequate processing and timely client contact, and team email/call review to ensure proper handling of client escalations.
  • Delegated authority and expectation to quality control review and approve cash transactions of a specified mid-tier dollar amount.
  • Provides mentoring, coaching, and training to support and develop team members.
  • Responsible for supervisory duties including performance evaluation, coaching, handling grievances, scheduling, approving timesheets, hiring, firing, etc.
  • Train new hires and existing employees on new and existing processes and complex activities.
  • Assist manager in executing on team projects and initiatives.
  • Ensure team adheres to all procedures and policies related to client contact and team processing activities.
  • Utilize extensive knowledge of company and team processes and policies to handle and resolve escalated client issues with a client centric focus.
  • Assist manager in formulating procedures and job aids and ensure they remain up to date and accurate.
  • Build strong relationships with other leaders and key personnel throughout the organization.
  • Evaluate exceptions and use judgment and business experience in determining next steps.
  • Assist team members in resolving complex transactions involving regulatory sensitivity, client escalations, and situations with elevated operational risk.
  • Partner with Sales and Relationship Management team on High Net Worth accounts for transactional and support growth initiatives.
  • Demonstrates compliance with all bank regulations for assigned job function and applies to designated job responsibilities - knowledge may be gained through coursework and on-the-job training. Keeps up to date on regulation changes.
  • Follows all Bank policies and procedures, compliance regulations, and completes all required annual or job-specific training.
  • Maintain a working knowledge of Bank's written policies and procedures regarding Bank Secrecy Act, Regulation CC, Regulation E,
  • Bank Security and other regulations as applicable to this job description.
  • May be asked to coach, mentor, or train others and teach coursework as subject matter expert.

About You:
  • Bachelor's degree in related field or equivalent financial services experience
  • required.
  • 5+ years financial services experience in a securities processing or asset servicing environment required.
  • 1 - 2 years leadership experience including leading a team of employees in a financial services environment required.
  • 5+ years alternative investment experience preferred.
  • Certified IRA Services Professional (CISP) preferred.
  • Self Directed IRA Industry Professional (SDIP) preferred.
  • Comprehensive knowledge of best practices related to operations and client service, and prior experience coaching employees, including oversight of complex client interactions and higher-risk processes.
  • Comprehensive knowledge of financial services industry products and compliance requirements.
  • Demonstrated quality control review skills and experience training team members.
  • Must be highly organized with the ability to handle multiple tasks at one time.
  • Excellent organizational, time management, problem prevention, and problem-solving skills.
  • Excellent written and verbal communication skills with the ability to convey detailed information and instruction clearly, and write reports, correspondence, job aids, and procedures.
  • Ability to thrive in a high volume, deadline driven office environment.
  • Must be flexible and willing to work in a fast-paced dynamic environment.
  • Strong understanding of a PC, Windows environment and Microsoft Office products.
  • Must exercise appropriate and professional judgment in line with Columbia Bank culture.

The pay range for this role is $59,564 - $82,567.
The pay rate for the selected candidate is dependent upon a variety of non-discriminatory factors including, but not limited to, job-related knowledge, skills, and experience, education, and geographic location. The role may be eligible for performance-based incentive compensation, and those details will be provided during the recruitment process.
