The St. Louis Park Receptionist/Administrative Assistant must provide exceptional customer service skills and be a team player who is supportive of the Mission, Vision, and Values of Citizens Independent Bank (CIB).  The SLP Receptionist/Administrative Assistant operates the switchboard and directs calls to the appropriate department or bank employee.  This position helps ensure a welcoming branch environment, supports daily branch operations, and assists employees across departments.

PRIMARY RESPONSIBILITIES:

This is a front-line service and sales position for all clients visiting the SLP branch, and for phone calls arriving through the SLP switchboard.  The incumbent will be expected to perform the following duties and responsibilities:

  • Greet customers in person and over the telephone answering general questions or transferring the customer to the appropriate banking partner.
  • Assist customers with routine questions related to bank services, hours, locations, appointments, and general account services processes.
  • Assist clients with access to their safe deposit box.
  • Prepare coffee and stock beverage supplies in the waiting area and clean area, when needed
  • Assist by monitoring incoming and outgoing mail and packages. Prepare FedEx or other shipment labels. Call for package pickups.
  • Order flowers or request memorials for bereaved employees, customers or for celebratory events.
  • Monitor and deliver faxes that arrive.
  • Provide general clerical and administrative support, including filing, scanning, organizing, routing,  copying, data entry, document preparation, and other miscellaneous tasks as requested. 
  • Process daily Account Transfer Notifications, Past Due Notices, & Safe Deposit Billing Statements.
  • Complete required courses as assigned by the Compliance Officer, BAI courses, as well as attend other training courses and seminars as requested by the Retail Banking Manager.
  • Attendance and participation as schedule allows at monthly Retail Credit, Retail Sales, Branch L10, and All-Staff meetings.
  • Maintain knowledge of bank products, services, policies, and procedures sufficient to provide accurate general information and appropriate referrals.
  • Utilize the bank’s CRM (Client Relationship Management) Tool, as required.
  • Participate in the opening, closing and securing of the branch based on a rotating schedule
  • Refer nonbank investment product prospects to a licensed representative.
  • Maintain NMLS certifications.
  • Administer the employee discount program.
  • Purchase and set up refreshments for the quarterly All Staff meeting.
  • Order lunches for SLP branch or SLP departments, when requested.
  • Complete faxed or mailed requests for customer account balance verifications.
  • Order name badges, desk plates and business cards for staff.

REQUIREMENTS:

  • Meet attendance and scheduling requirements and demonstrate readiness to start work at scheduled time.
  • Must be available Monday - Friday, and rotating Saturday mornings.

QUALIFICATIONS AND ATTRIBUTES:

The duties of the bank receptionist/administrative assistant are vital, and require the ability to multi-task. The required skills and abilities necessary for this position include:

  • The primary requirement for a bank receptionist/administrative assistant is to have excellent communication and interpersonal skills
  • Ability to understand the customers’ needs and must be cordial and empathetic to the customer’s queries and requirements
  • Ability to present a friendly and helpful picture of the bank at the first meet.
  • Required field knowledge to help the customers.
  • Ability to work under pressure since it may be a stressful job from time to time.
  • Understanding of the importance of client confidentiality
  • Able to build rapport with customers
  • Ability to build customer loyalty by seeking long term relationships
  • Provide outstanding customer service with a positive attitude
  • Ability to keyboard and enter numerical data with speed and accuracy

Education & Experience:

  • Must have a high school diploma or GED. Additional post-secondary training is preferred.
  • Prior banking or customer service experience is preferred.
  • Prior administration experience is preferred
