Job description

The Verification Specialist is responsible for obtaining, documenting, and maintaining accurate pre-employment verification information for background screening reports. This position serves as a key point of contact with employers, educational institutions, licensing agencies, and clients while ensuring all work is completed accurately, efficiently, and in compliance with the Fair Credit Reporting Act (FCRA), company policies, and client requirements.

The ideal candidate is detail-oriented, organized, customer-focused, and able to manage multiple priorities in a fast-paced environment while maintaining strict confidentiality.

Essential Duties and Responsibilities

  • Process employment, education, professional license, credential, and reference verifications.
  • Review new background screening orders and initiate required verification activities.
  • Contact employers, educational institutions, licensing agencies, and other sources to obtain verification information.
  • Complete verification requests within established turnaround time goals (typically 24-72 hours whenever possible).
  • Accurately document all verification results and communications in the pre-employment software for orders being processed.
  • Perform data entry with a high degree of accuracy and attention to detail.
  • Research contact information when verification sources are incomplete or unavailable.
  • Maintain complete documentation of all phone calls, emails, faxes, and correspondence.
  • Communicate professionally with clients regarding verification status, missing information, and report completion.
  • Release completed reports to clients after quality review and company procedures have been met.
  • Assist with client account setup, including credit setup procedures for new accounts.
  • Process tenant screening requests, including:
    • Entering orders
    • Monitoring order status
    • Conducting employment and landlord verifications
    • Responding to client inquiries
    • Delivering completed reports
  • Process GED verification requests and prepare required mailing or electronic documentation.
  • Monitor departmental email inboxes and respond promptly to client and vendor inquiries.
  • Protect confidential applicant and client information in accordance with company policy and applicable laws.
  • Maintain compliance with FCRA, state regulations, and company quality standards.
  • Meet departmental productivity, accuracy, and turnaround time expectations.

Secondary Duties and Responsibilities

  • Assist the Pre-Employment Screening team with workload as needed.
  • File documents that have been completed for the screening month
  • Cross-train in other screening functions to provide departmental support.
  • Participate in process improvement initiatives.
  • Assist with special projects as assigned.
  • Attend staff meetings and required training sessions.
  • Perform other duties as assigned.
