Job Description

The Advancement Services team is seeking a proactive, strategically minded Organizational Strategy Associate to serve as a vital link between departmental leadership, event management, and operations. Operating under general direction, this role offers autonomy to manage daily operations, establish effective unit procedures, and advise on strategic policy changes.

In this dynamic position, you will act as a key thought partner to two Associate Vice Presidents (AVPs),, manage key facilities, and lead student staff—all while maintaining high-touch donor and leadership relations.

Key Responsibilities Include:

Executive & Leadership Support 

  • Strategic Thought Partnership: Serve as a strategic liaison and thought partner to the AVP of Advancement Services and the AVP of Regional Development.

  • Project & Time Management: Manage special projects assigned by leadership. Proactively oversee and manage the AVPs' time and effort allocation to maximize operational efficiency and impact.

  • Benefactor Engagement: Advise on tactical and strategic activities, including high-level visits with trustees, major donors, and prospective benefactors.

Event Execution & Communications 

  • Strategic Event Oversight: Plan and execute key departmental events from conception to completion.

  • Stakeholder Engagement: Coordinate timely, proactive communications to internal and external constituents, including University leadership as appropriate.

Facility, Space & Front Desk Management 

  • Facility Management: Act as the primary Point of Contact (POC) for the Eddy Street Commons (ESC) building. Serve as the main liaison with commercial property management (Kite Realty) and campus maintenance regarding building conditions, parking, access, and amenities.

  • Front Desk & Student Supervision: Direct, organize, and supervise student workers managing front desk operations.

  • Space & Resource Coordination: Oversee office assignments, locker distributions, hoteling protocols, and centralized space bookings (e.g., Family Room, Sorin Room).

  • Inventory Management: Manage supplies, snacks, and beverage orders for both the Eddy Street Commons location and Grace Hall (10th & 11th floors).

Donor Relations & Resource Coordination

  • RecSports ID Management: Partner with Annual Giving to identify eligible donors, coordinate outreach, and issue RecSports IDs on demand and annually.

  • Equipment Oversight: Manage golf cart reservation requests and maintain equipment condition.

Qualifications

Minimum Qualifications 

  • Associate's degree + 2 years of professional experience or 4 years of professional office experience in lieu of a degree considered. 
  • Proven ability to work independently with general direction, establish operational procedures, and resolve daily workplace conflicts with high sound judgment.
  •  Demonstrated experience interfacing professionally with senior executives, high-net-worth donors, or institutional leadership.
  • Prior experience supervising, scheduling, or coordinating student employees or administrative support staff.
  • Proven track record of managing multi-step projects and high-profile events from initial planning through execution and communications.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and digital administrative tools (e.g., space booking/hoteling systems, inventory management).
  • Must be authorized to work in the United States without visa sponsorship. 

Preferred Qualifications

  • Bachelor’s degree.
  • Previous experience with higher education development, donor relations, or university advancement services.
  • Familiarity with facility coordination, vendor/property management liaison work (e.g., commercial lease protocols), or space-planning software.
  • Specific experience organizing high-touch visits and logistics for University Trustees, Board members, and principal gift prospects.
  • Experience with advancement CRM databases (e.g., Salesforce, Advance, Raiser’s Edge) and facility/guest management platforms.
