Associate Vice President (AVP), Finance - Grants
PURPOSE OF POSITION: The Associate Vice President, Finance - Grants provides financial oversight and coordination across the Finance team, with a primary focus on grants awarded to and administered by United Way of Summit amp; Medina. This position ensures compliance with grant agreements, the OMB Uniform Guidance under 2 CFR Part 200, and other applicable federal, state, local, and private funding requirements. The AVP of Finance - Grants will also help ensure that appropriate technology, software, internal controls, and reporting processes are in place to accurately monitor grant activity, billing, spending, and budget performance. Together with the CFO and Controller, the AVP of Finance - Grants will be responsible for ensuring the accuracy and completeness of the organization’s grant reporting and maintaining effective systems of internal accounting control. This position also provides leadership to strengthen coordination across the Finance team and support the department’s day-to-day work.
ESSENTIAL JOB FUNCTIONS:
Grant Financial Oversight: Oversee grant billing and work with Finance managers and staff to meet all billing and reporting deadlines. Work with the Manager, Finance - Grants to maintain, improve, and adapt grant-accounting processes as funding and compliance requirements evolve. Maintain primary responsibility for reviewing grant agreements, financial requirements, compliance supplements, and award conditions to ensure accounting and reporting procedures meet applicable standards. Ensure all grants and awards are accurately tracked and kept up to date in a master grant matrix available to Finance, organizational leadership, Fund Development, and appropriate program personnel. Maintain grant contracts, agreements, award letters, amendments, and related documentation in a centralized electronic repository and, when required, in hard copy. Monitor grant spending, allowable costs, matching requirements, restrictions, reimbursement activity, and reporting deadlines.
Grant Budgets and Financial Reporting: Partner with the Manager, Finance - Grants; Manager, Grant Development; and program leadership to develop grant budgets for proposals, amendments, forecasting, and reporting. Maintain primary responsibility for the financial integrity and ongoing monitoring of grant budgets. Develop and maintain analyses comparing grant expenditures and commitments against approved budgets. Identify potential underspending, overspending, compliance concerns, or timing issues and communicate recommended actions to appropriate leaders. Ensure grant funds are allocated, documented, billed, and spent appropriately and within required timeframes. Prepare accurate and timely financial reports for funders, organizational leadership, and other stakeholders.
Record Maintenance, Compliance, and Audits: Maintain accurate, complete, and audit-ready records for all grant accounting, billing, budgeting, and reporting activity. Serve as the primary Finance lead for grantor audits, monitoring visits, compliance reviews, and grant-related portions of the annual financial audit. Coordinate audit requests and supporting documentation with Finance, program, Fund Development, and organizational leadership. Conduct periodic internal reviews of grant-related internal controls, cash disbursements, supporting documentation, and compliance with funding requirements. Recommend and implement corrective actions or process improvements when risks, deficiencies, or compliance concerns are identified.
Systems and Process Improvement: Evaluate and improve the technology, software, reporting tools, and workflows used to manage grant budgets, billing, compliance, and reporting. Strengthen consistency, accuracy, documentation, and accessibility across grant-management processes. Identify opportunities to reduce manual work, improve coordination, and increase the timeliness and reliability of grant information. Partner with Finance and organizational leadership to implement appropriate system and process improvements.
Staff Supervision: Directly supervise and provide day-to-day leadership to the Manager, Finance - Grants. Establish clear expectations and priorities and provide ongoing coaching, feedback, professional development, and performance management. Promote collaboration, accountability, cross-training, and effective communication throughout the Finance team.
NONESSENTIAL JOB FUNCTIONS:
Finance Department Cross-Utilization and Support: Serve as backup to the Manager, Finance - Grants and VP, Controller during periods of unusually high workflow or staff absence. This will require learning essential functions across multiple Finance roles and providing coverage when needed. Provide support to the VP, Controller and CFO on financial analysis, organizational initiatives, and special projects.
Engagement: Participate in assigned engagement-calendar events, marketing activities, organizational initiatives, and related planning meetings.
QUALIFICATIONS:
  • Bachelor’s degree in accounting, finance, business administration, or a related field required. An equivalent combination of relevant education and progressively responsible experience may be considered.
  • Five or more years of progressively responsible experience in grant accounting, fund accounting, sponsored-program finance, financial compliance, audit, or related financial management required.
  • Demonstrated experience supervising staff or leading the work of others required.
  • Nonprofit financial-management experience preferred.
  • Advanced knowledge of Generally Accepted Accounting Principles (GAAP) and applicable Financial Accounting Standards Board (FASB) standards.
  • Competent in Microsoft Office products.

PHYSICAL/OTHER REQUIREMENTS:
  • Position is primarily a normal office setting, requiring long periods of sedentary work at a desk and computer.
  • Ability to routinely travel throughout multi-floor office utilizing stairs or elevator.

  • Ability to pass pre-employment testing including background check, drug and alcohol screen.
  • Must be willing to work non-standard work schedule including nights, weekends, and other unusual hours on occasion.
