Job description

Reports To: Senior Project Manager

Status: Full-time, Non-Exempt


Primary Areas of Focus

Core Responsibilities

  • Provide coordination and planning support to Project Managers / Engineers on multiple projects from preliminary design through construction phases.
  • Submit applicable materials to the client and/or respective local, state, or federal review agencies.
  • Administer/review project documents including contracts.
  • Maintain project management reporting software, create, updates, and distributes project/client files and generates schedules and reports.
  • Assist with tracking project budgets, may assist accounting with preparation of client invoicing.
  • Provide client coordination and customer service for internal and external clients.
  • Coordinate and attend design / construction meetings.
  • Assist Project Managers with research for proposals.
  • Assist Project Managers with client and contractor communications.
  • Support change order management, estimates and quality control.
  • Follow established project coordination workflows and processes. Share ideas for improvement with Project Manager.
  • Support Project Managers and in documenting meetings, as requested, including project walks, punch lists, acceptance documents, construction administration, and the administration of internal and external contracts.
  • Assist with project closeouts.
  • Responsible for engineering of record for testing and observation.
  • Coordinate submittal packages, project checklists, team deliverables, progress, and schedule to achieve project commitments. Submit applicable materials to the client and/or respective local, state, or federal review agencies.
  • Communicate when project commitments are in jeopardy.
  • Perform due diligence and project research.
  • Perform quality assurance and control to ensure consistency in deliverables.
  • Perform other duties as assigned.
  • Achieve a 60%-70% Billable Utilization Rate. Non-billable activities include company & team meetings, professional development, community involvement, innovation time, culture & engagement activities, learning, and training.

Preferred Skills & Experience

  • High School Diploma or GED required.
  • Minimum of 5 years' experience in project-based professional services industry, preferably in real-estate, construction, design, engineering, or surveying.
  • Proficient with Microsoft 365 and ability to learn common industry software.
  • Basic knowledge of public processes and engineering/surveying projects.
  • Basic understanding of project management workflow.
  • Attention to detail and documentation skills.
  • Valid driver's license and automobile insurance.

Physical Requirements

  • Required to stand, walk, and sit.
  • Requires a regular and normal range of hearing.
  • Must be able to lift 15 lbs. occasionally.
  • Must have manual dexterity sufficient to operate a computer keyboard and calculator.
  • Noise levels are consistent with a standard office environment when working in an office.
