We are seeking a proactive and detail-oriented Collections Specialist to support our Ocoee branch and assist with a variety of administrative and operational tasks. This role requires strong organizational skills, the ability to multitask, and a customer-focused mindset in a fast-paced environment.
The ideal candidate is dependable, resourceful, and enjoys supporting a team while keeping projects and information well organized. We are looking for individuals who are bold, curious, innovative, and caring.
Responsibilities for this role include
  • Contacts customers as needed prior to, or following, service and alarm work to ensure communication and satisfaction with the job performed. In some locations, this position may also follow up on inspections.
  • Enters work orders from customer call ins and discusses scope of work, customer needs pertinent information and urgency. Communicates with appropriate WAFS staff to handle the customer's needs and follows up to ensure completion. In emergency situations may coordinate dispatching of technician with superintendent.
  • Assists with the maintenance of the dispatch board with the superintendent and/or Service Manager. Performs daily review of dispatch board to identify customer service issues, update status, and contact customers on upcoming service calls or changes.
  • Upon receipt of customer authorization changes status from quote to project or call and routes accordingly.
  • Provides information to customers about other WAFS services including monitoring, alarm system service, inspections, underground, site, and other work and routes request accordingly.
  • Communicates all service concerns to department or branch manager and works closely to assist in the resolution of issues.
  • Assist & communicate with customers monitoring account issues and suggests how WAFS can help solve their problems.
  • Follow up with lost customers to determine why they left WAFS; track common trends; offer solutions to win customer back; and provide report to management of our challenges.
  • Provide administrative support for branch operations, including invoice and pay application processing, collections management for ISA, commercial, and underground projects, customer documentation requests, and the preparation of permit submittal packages.
  • Perform other related duties as assigned.

What are the Qualifications for this position?
  • Minimum of three years of collection/customer service experience.
  • Outgoing, energetic, friendly personality with excellent communication skills.
  • Must be able to build rapport and maintain relationships with internal and external customers.
  • Must be resourceful, organized, and detail-oriented with great follow-through skills.
  • Must be able to exercise independent judgment and discretion.
  • Must be a self-starter who is assertive in a pleasing way.
  • Must be able to prioritize and multi-task effectively.
  • Proficient use of computers including Microsoft Word, Excel, and Outlook.
  • Ability to work in a deadline-driven and fast-paced environment.
  • Ability to work in a team environment
