POSITION TITLE: Office Administrator

REPORTS TO: President & GM, Grand Prix of Arlington

LOCATION: Arlington, TX โ€“ This role is based in the office and requires on-site presence

WHAT YOU'LL DO

As the Office Administrator, you'll play an essential role in supporting the President and helping keep the Grand Prix of Arlington office running at its best. You'll work across departmentsโ€”including sales, ticketing, and event operationsโ€”to coordinate priorities, manage day-to-day administrative needs, and create an organized, collaborative environment where teams can thrive. YOUR RESPONSIBILITIES

  • Provide direct administrative support to the President while serving as the primary point of contact for office operations, helping prioritize requests and keep daily activities running smoothly.
  • Provide administrative support to the sales team through document preparation, meeting coordination, sales presentation development, and other departmental needs.
  • Provide administrative support to the ticketing team, coordinating requests and assisting with department initiatives as needed.
  • Assist with event logistics, vendor coordination, and on-site administrative support during key events
  • Serve as a resource and connector across departments, helping to facilitate communication and follow-through on action items
  • Manage office supplies, equipment, and general office organization to ensure a well-functioning work environment
  • Plan and coordinate internal meetings, team gatherings, and office events
  • Handle sensitive and confidential information with discretion and professionalism
  • Help foster a positive, collaborative office culture by creating a welcoming environment, encouraging teamwork, and supporting strong working relationships across departments.
  • Additional responsibilities as assigned

WHAT YOU BRING

REQUIRED EXPERIENCE & SKILLS:

  • 3+ years of experience in an administrative or office management role, preferably in a sports, entertainment, or events environment
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion when handling confidential information
  • Proficient in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Experience supporting senior leadership preferred
  • Ability to work flexible hours, including evenings and weekends during events
  • Self-starter who takes initiative and anticipates needs before being asked
  • Positive, team-oriented attitude
  • Alignment with Penske Entertainment's core values and standards

Education:

  • Bachelor's degree preferred; equivalent work experience in an administrative or office support role will be considered in lieu of a degree

FLEXIBILITY & TRAVEL

  • Standard hours are Mondayโ€“Friday, 9:00 AM to 5:00 PM
  • Extended hours required during race weekends and key event periods (especially March)
  • Our teams work together to create flexibility that supports life in and out of work

PHYSICAL DEMANDS

  • Must be able to see and hear in the normal range with or without correction and communicate verbally and in written form with great facility and must be able to be understood.
  • Must have the stamina to work long hours and must be willing to work an irregular schedule, which may include weekends or evenings.
  • Extended periods of standing or walking (as needed)
  • Occasional work outdoors requires physical strength and stamina to endure extreme heat, cold, rain and other conditions.
  • Comfort working indoors/outdoors and around event noise

WORK ENVIRONMENT

  • Work is performed in both an office environment and outdoors, and in close proximity to other workers.
  • Employees will be exposed to those conditions normally encountered in a business office environment.
  • Fast-paced, collaborative office and event settings
  • Employees are faced with frequent interruptions and must meet with others on a regular basis.
  • The noise level in the work environment can be loud, due to professional racing events.
