Category: Finance Status: Non-Exempt Reports To: Senior Vice President of Finance & Controller Job Description We are seeking an organized and detail-oriented Administrative Assistant to join our finance team at Ellis Island Casino, Hotel, Brewery, and Village Pubs Corporate office. The Finance Administrative Assistant will play a key role in supporting the Senior Vice President of Finance, Controller and Finance Department. This position requires excellent communication skills, professionalism, strong grammar and punctuation, acute attention to detail, ability to prioritize assignments and self-manage workload, and the ability to collaborate with various departments to ensure accurate and timely financial reporting.

Periodic availability and accessibility on weekends or holidays when deemed necessary for urgent items. Responsibilities Respond to email inquiries from management.

Assist with compiling sensitive information to respond to regulatory requirement requests. Maintain, scan and update digital records. Assist with office organization and cleanliness.

Assist in the collection and processing of payments ensuring all transactions are recorded and deposited accurately. Assist with preparation of various licensing forms. Provide administrative support for budget tracking and track departmental spending.

Execute daily tasks in accordance with company policies, industry standards, and regulatory requirements. Help maintain internal controls over financial transactions and processes to minimize risk. Assist in the preparation of financial documents for external and internal audits.

Provide necessary documentation and support during audit processes to ensure a smooth and timely audit completion. Liaise with other departments (hotel operations, casino operations, HR, etc.) to gather financial information and resolve any financial discrepancies. Prepare communication such as memos, emails, invoices, reports, and other correspondence

Provide administrative support to the finance team and management with tasks and special projects as assigned. May periodically cover the reception desk. Skills / Experience High School Diploma or equivalent, bachelor's degree preferred.

At least 5 years of experience as an administrative assistant or office coordinator, preferably within the gaming or hospitality industries, or accounting firm. Organized and detail orientated. Proficient in Microsoft Office Suite with advanced Excel skills.

Familiarity with any accounting software is a plus. Strong problem-solving skills and ability to analyze basic financial data. Must possess the ability to work in a fast-paced environment and meet all required deadlines.

Must be able to effectively handle routine tasks, while responding appropriately to any additional requests and/or special projects as they may arise. Excellent communication skills, with the ability to speak and understand English, both written and verbal. Must have the availability to work weekends and holidays if necessary.

Must possess the ability to uphold and demonstrate the highest level of integrity in all situations and recognize standards required by a regulated industry. Must be able to obtain a Nevada Gaming Registration Card. The ability to submit to and pass a background check and drug test is required.

Physical Requirements Must be able to sit for long periods of time throughout shift. Ability to use hands to handle objects, tools, and to operate a computer. Occasionally lift and/or move objects up to 20 lbs.
