Administrative Coordinator

America's Auto Auction โ€“ Birmingham is seeking a detail-oriented and customer-focused Administrative Coordinator to join our team. In this role, you'll help coordinate weekly Lease/Bank and Damaged & Disabled sales while supporting smooth auction operations from start to finish. This position is ideal for someone who thrives in a fast-paced environment, enjoys working with multiple departments, and takes pride in delivering outstanding customer service.

What You'll Do
  • Coordinate and support weekly sale day operations and vehicle sale preparation
  • Enter and maintain accurate vehicle, pricing, and inventory information in company systems
  • Review and verify vehicle files, sale eligibility, and supporting documentation
  • Partner with the Title Department to ensure titles and required paperwork are received and processed timely
  • Investigate discrepancies, resolve inventory issues, and reconcile sale information
  • Communicate with customers and internal departments regarding sale schedules and vehicle status
  • Collaborate with Accounting on balancing sales and post-sale invoicing activities
  • Provide administrative and clerical support, including special projects and reporting as needed
  • Assist in maintaining efficient workflows that support a successful auction experience
What We're Looking For
  • High School Diploma or equivalent required
  • Strong organizational skills with the ability to multitask and prioritize effectively
  • Self-motivated, dependable, and detail-oriented
  • Excellent customer service and communication skills
  • Computer proficiency and comfort working with databases and reporting systems
  • Ability to read, write, and speak English fluently
  • Valid driver's license required
  • Must be at least 18 years old

This position involves both office and operational auction environments. Team members may work indoors and outdoors and should be comfortable with changing temperatures, weather conditions, elevated noise levels, and occasional vehicle exhaust exposure.
