Job description

Gold Standard Auctions is seeking a highly organized, discreet, and dependable Executive Assistant to support the Company’s leadership team while assisting with day-to-day human resources administration.

This position will manage scheduling, communications, records, meetings, and executive priorities while helping coordinate employee onboarding, personnel documentation, attendance records, benefits information, and other HR-related responsibilities.

The ideal candidate exercises sound judgment, communicates professionally, handles confidential information responsibly, and can manage multiple priorities in a fast-paced environment.

Key Responsibilities

Executive Support

  • Provide administrative support to Company executives and senior management
  • Manage calendars, appointments, meetings, reminders, and scheduling priorities
  • Organize meetings, prepare agendas, take notes, and track follow-up items
  • Draft and proofread emails, letters, reports, contracts, and internal communications
  • Screen and direct phone calls, messages, and correspondence
  • Coordinate business travel, events, appointments, and Company activities
  • Maintain organized electronic and physical records
  • Track deadlines and follow up with employees or managers regarding outstanding assignments
  • Assist with special projects, research, and operational tasks as assigned
  • Communicate with employees, customers, vendors, and business partners on behalf of management

Human Resources Support

  • Assist with recruiting, including posting positions, reviewing applications, scheduling interviews, and communicating with candidates
  • Coordinate new-hire onboarding, orientation, paperwork, and system access
  • Maintain accurate and confidential employee personnel records
  • Track employee attendance, paid time off, performance reviews, and required documentation
  • Assist management with preparing offer letters, employment agreements, job descriptions, written warnings, and other personnel documents
  • Help communicate Company policies, workplace expectations, and benefit information to employees
  • Coordinate employee benefits enrollment and communicate with insurance or benefits providers as needed
  • Support employee offboarding by collecting Company property, updating records, and completing required documentation
  • Assist with employee questions and direct sensitive or complex matters to the appropriate manager
  • Maintain strict confidentiality regarding compensation, performance, disciplinary matters, medical information, and other personnel records
  • Help ensure HR records and processes are completed consistently and on time

Qualifications

  • Excellent organization and time-management skills
  • Strong written and verbal communication abilities
  • Professional demeanor and sound judgment
  • High level of discretion when handling confidential or sensitive information
  • Ability to manage multiple priorities with limited supervision
  • Strong attention to detail and follow-through
  • Proficiency with email, calendars, spreadsheets, documents, and office software
  • Ability to communicate effectively with executives, employees, applicants, vendors, and customers
  • Previous experience as an executive assistant, administrative assistant, office manager, or HR coordinator is preferred
  • Familiarity with employee onboarding, personnel records, benefits administration, or other HR functions is preferred
