REPORTS TO: Athletic Director
SUMMARY:
The Assistant Athletic Director reports directly to the Athletic Director and assists with the planning, organization, coordination, and administration of the district's interscholastic athletic programs. This position supports the day-to-day operations of all middle and high school athletic programs, ensuring compliance with district policies and the rules and regulations of the Michigan High School Athletic Association (MHSAA).
Responsibilities include athletic event management, student-athlete eligibility, scheduling, communication, and operational support. Candidates should be pro?cient in technology and comfortable using computer-based systems for communication, data management, scheduling, reporting, and daily operations.
MINIMUM QUALIFICATIONS:
- Bachelor's degree in Sports Management, Education, Athletic Administration, or a related ?eld.
- Experience in athletic administration, coaching, or educational leadership at the secondary school level or beyond.
- Strong leadership, organizational, interpersonal, and communication skills.
- Knowledge of MHSAA, NFHS, and applicable state and district athletic regulations.
- Ability to work collaboratively with students, families, coaches, administrators, sta?, o?cials, and community partners.
- Demonstrated commitment to sportsmanship, equity, student development, and educational athletics.
- Current First Aid and CPR certi?cation or the ability to obtain certi?cation upon hire.
PREFERRED QUALIFICATIONS:
- Strong leadership, teamwork, customer service, and public relations skills.
- Excellent organizational, *me management, decision-making, and problem-solving abilities.
- Pro?ciency with Microsoft O?ce Suite, Google Workspace, and database management systems.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Responsibilities include, but are not limited to, the following:
1. Athletic Event Management
Assist in planning, organizing, supervising, and evaluating athletic contests, tournaments, and special events.
Duties include:
- Supervise athletic event sta?, coaches, o?cials, game workers, and volunteers.
- Ensure proper crowd management and spectator services.
- Maintain appropriate conduct and sportsmanship among participants and spectators.
- Exercise sound judgment and authority during challenging situations.
- Implement emergency action plans and safety procedures.
- Coordinate with security personnel, emergency responders, and local law enforcement when necessary.
- Resolve scheduling con?icts, complaints, and operational concerns.
Facility Responsibilities
- Coordinate preparation of athletic facilities, including ?elds, courts, tracks, seating areas, signage, and equipment.
- Ensure athletic equipment is available, safe, and functioning properly.
- Oversee athlete check-in and event logistics.
- Ensure appropriate medical coverage and emergency response resources are available during events.
- Coordinate pre-game ceremonies, public address announcements, national anthem, and other event protocols.
- Monitor timing, scoring, statistics, and event results.
- Oversee facility cleanup and secure all venues following events.
2. Communication and Student Services
- Support e?ective communication among coaches, athletes, parents, sta?, o?cials, and community members.
Duties include:
- Maintain e?ective communication with coaches, o?cials, student-athletes, and school administration.
- Coordinate schedules, announcements, event updates, cancellations, and results.
- Collaborate with athletic trainers and school health personnel regarding student injuries and follow-up communication with families.
- Monitor student-athlete eligibility in accordance with district and MHSAA requirements.
- Respond promptly to emails, phone calls, and in-person inquiries from parents, students, sta?, and community members.
- Serve as a liaison with vendors, equipment suppliers, o?cials, media representatives, and collegiate recruiters.
- Collaborate with district departments including transportation, facilities, communications, food services, ?nance, and school administration.
3. Athletic Operations and Program Support
- Assist with the overall administration and organization of district athletic programs.
Duties include:
- Maintain student-athlete databases, including physical examinations, eligibility records, participation forms, and team rosters.
- Assist with scheduling practices, contests, tournaments, transportation, and facility usage for all athletic programs.
- Maintain district athletic websites to ensure schedules, rosters, coaching information, announcements, and photographs remain current.
- Ensure all required MHSAA reporting is completed, including schedules, scores, coaches' certi?cations, CPR records, o?cials' ratings, and Emergency Action Plans.
- Coordinate transportation requests for athletic teams and communicate student early dismissals to school administrators and faculty.
- Organize game worker and volunteer schedules using electronic scheduling platforms.
- Assist with inventory management of athletic equipment, uniforms, awards, plaques, and recognition items.
- Coordinate varsity awards, banquets, senior recognition events, and other athletic celebrations.
Additional Responsibilities
- Assist with the development and implementation of departmental policies and procedures.
- Support budget preparation, purchasing, and inventory control.
- Promote positive relationships between the athletic department, schools, families, and the community.
- Attend professional development opportunities related to athletic administration.
- Perform other duties as assigned by the Athletic Director or Superintendent.
