Job description

Sales Administrator

The Sales Administrator provides administrative and operational support to the Sales and Program Management teams. This role is responsible for maintaining accurate sales records, managing customer portals, coordinating purchase order administration, supporting program launches, and ensuring timely communication between internal departments and customers. The ideal candidate will bring experience in the automotive industry, preferably within an automotive manufacturing or automotive supplier environment.

Key Responsibilities

Phase 1 – Sales Administration

• Maintain the sales log database, ensuring all customer, quotation, and sales information is accurate and up to date.
• Upload, organize, and maintain all required sales documentation and customer records.
• Audit sales records to verify that all required information and supporting documentation have been completed.
• Follow up with Account Managers regarding quote status, open items, and outstanding documentation.
• Manage customer portals, including maintaining customer information, uploading required documents, monitoring requests, and ensuring compliance with customer requirements.

Phase 2 – Program Transition & Purchase Order Administration

• Maintain the purchase order database with accurate and current information.
• Create and process purchase orders, verifying that all associated costs have been approved and budgeted by the appropriate Program Manager.
• Collect and organize customer quotations from the Sales team in preparation for Program Handoff Meetings.
• Support the transition of awarded business from Sales to Program Management by ensuring all required documentation is accurate, complete, and available.
• Coordinate with Sales, Program Management, Finance, and other internal teams to resolve purchase order or documentation discrepancies.

Phase 3 – Program Support

• Coordinate with internal departments to complete, maintain, and submit customer packaging forms and related documentation.
• Prepare and issue tooling invoices to customers accurately and within required timelines.
• Assist in gathering, organizing, and submitting customer updates related to production capacity and capacity planning.
• Submit raw material requests through customer portals in accordance with customer requirements and deadlines.
• Support cross-functional teams by tracking outstanding customer requirements and ensuring timely completion of assigned administrative tasks.
• Maintain clear communication with internal stakeholders and customers regarding open items, documentation requirements, and program-related deadlines.

Qualifications

• Minimum 3 years of experience in automotive manufacturing, automotive sales administration, customer service, sales support, or program support.
• Experience working in an automotive supplier or automotive manufacturing environment is strongly preferred.
• Strong preference for candidates with direct automotive industry experience, ideally including familiarity with Ford systems, GM systems, OEM customer portals, customer-specific requirements, and automotive documentation processes.
• Associate’s or Bachelor’s degree in Business, Sales, Supply Chain, Finance, or a related field preferred.
• Experience maintaining sales databases, processing purchase orders, managing customer documentation, or supporting program launches preferred.
• Proficiency with Microsoft Office, including Excel, Word, Outlook, and database or ERP-related systems.
• Ability to manage multiple priorities, deadlines, and customer requirements in a fast-paced environment.
