Information Technology & Project Oversight Specialist
Reports To: Chief Correspondent Banking Officer
Secondary Oversight: Chief Operating Officer (COO)

Location: Office-based with occasional coordination across departments and vendors
Position Summary
The Information Technology (IT) & Project Oversight Specialist is responsible for coordinating, monitoring, and supporting the Bank’s technology and product-related workflows. This role serves as a key liaison between internal departments, leadership, and the Bank’s Managed Service Provider (MSP). While not requiring deep technical engineering expertise, the position demands a strong understanding of technical terminology, project oversight, and regulatory alignment with FFIEC, GLBA, and internal control expectations.
Primary Focus
• Oversee technology operations, risk management, and MSP performance.
• Coordinate product workflows, system changes, and cross-functional communication.
• Lead and support technology and operational projects from initiation through implementation.
• Ensure compliance with regulatory standards and internal policies governing IT and product oversight.
Key Responsibilities
1.     Oversight & Technology Risk Management
·         Coordinate and monitor MSP performance, service-level adherence, and contract expectations.
·        Maintain and update the Technology Risk Assessment in collaboration with MSP, Compliance, and the Technology Committee.
·        Oversee lifecycle documentation, change controls, and operational readiness for technology and products.
·        Maintain IT and product-related policies and ensure alignment with regulatory requirements.
·        Prepare and present updates on risks, incidents, and key technology metrics.
2.      Product Operations & Technology Coordination
·        Coordinate product-related workflows including requirements gathering, documentation, and vendor communication.
·        Support lifecycle management for banking systems and technology products.
·        Translate business and operational needs into actionable requirements for MSPs and vendors.
·        Ensure alignment across departments and support communication and training for system changes.
3.     Project Leadership & Implementation Oversight
·        Lead technology, information security oversight, and operational enhancement projects in coordination with the MSP.
·        Develop and maintain project charters, scope documents, timelines, and communication plans.
·        Review MSP project deliverables including documentation, test plans, and rollout readiness materials.
·        Coordinate user acceptance testing (UAT), training schedules, go-live communications, and post-implementation reviews.
·        Maintain the multi-year technology and product roadmap.
4.     Cybersecurity & Information Security Oversight
·         Support MSP oversight of the Information Security Program (ISP) and required documentation.
·        Lead and track user access review processes.
·        Maintain the Incident Response Plan and coordinate periodic tabletop exercises.
·        Review MSP cybersecurity recommendations and ensure internal follow-through.
·        Ensure completion of employee cybersecurity training and proper incident documentation/reporting.
5.     Vendor Management Support
·        Assist with vendor due diligence, SOC reviews, risk assessments, and contract renewals.
·        Ensure MSP contract obligations align with the Bank’s technology needs.
·        Support Compliance and Audit functions in maintaining vendor documentation and risk assessments.
6.     Change Management Oversight
·        Review and approve technology-related change requests, ensuring proper testing, risk review, and rollback procedures.
·        Monitor MSP adherence to change management protocols.
·        Validate internal readiness and communication for system updates.
·        Coordinate system maintenance windows across departments and product lines.
7.     Technology Workgroup Participation
·        Provide regular updates on risks, incidents, project progress, and roadmap initiatives.
·        Present issues requiring leadership input and communicate decisions to stakeholders.
·        Track action items and ensure accountability across internal teams and MSP partners.
8.     Internal User Coordination
·        Serve as the primary internal contact for technology and product-related inquiries.
·        Review and approve internal technology requests prior to MSP engagement.
·        Coordinate provisioning and deprovisioning workflows (executed by MSP).
·        Provide limited administrative support and facilitate adoption of system changes.
Education Requirements
• High School Diploma or GED required.
• Associate’s or Bachelor’s degree preferred; equivalent experience may be substituted.
Required Skills & Competencies
• Strong communication skills with the ability to convey technical and non-technical information effectively.
• Working knowledge of IT concepts and terminology sufficient to interpret MSP reporting and recommendations.
• Ability to analyze service performance, incidents, and risk-related reports.
• Strong project and product management capabilities with the ability to manage multiple initiatives simultaneously.
• Ability to bridge communication between technical vendors and business stakeholders.
• Strong organizational skills with attention to detail, documentation, and follow-through.
• Ability to work cross-functionally and manage competing priorities in a regulated environment.
Preferred Qualifications
• Experience working with Managed Service Providers (MSPs) or third-party technology vendors.
• Background in project, product, or operational oversight roles.
• Familiarity with IT risk management and regulatory frameworks such as FFIEC or GLBA.
• Experience preparing reports and presentations for leadership or committees.
• Basic familiarity with Microsoft 365 and Windows environments from a user or oversight perspective.
