The Opportunity

We are seeking an exceptional Executive Operations & Chief of Staff Associate to work directly alongside Dr. Olivier Clerk, Founder and Chief Medical Officer of Beam Radiology.

This is not a traditional Executive Assistant position. You will become Dr. Clerk's trusted operational partner, helping coordinate his clinical practice, executive responsibilities, research, physician education, international leadership roles, strategic initiatives, and organizational communications.


Most Executive Assistant positions focus primarily on calendars and administration. This role is fundamentally different.


You will gain exposure to executive leadership, healthcare operations, research, physician engagement, marketing, international conferences, fellowship training, strategic partnerships, and business development while working alongside one of Canada's leading physician entrepreneurs.

 

Key Responsibilities

 

Executive Operations

·        Manage Dr. Clerk's clinical schedule, executive calendar, meetings, travel, and daily priorities.

·        Ensure clinics and meetings are organized, well supported, and run efficiently.

·        Prepare correspondence, presentations, reports, and executive communications.

·        Coordinate selected VIP patient logistics and ensure an exceptional experience.

·        Handle confidential clinical, physician, corporate, and financial information.


Communications & Executive Relations

·        Serve as a professional representative of Dr. Olivier Clerk and Beam Radiology with physicians, executives, researchers, patients, industry partners, and external organizations.

·        Foster clear, timely, and effective communication between Dr. Clerk, Beam leadership, physicians, operational teams, and external stakeholders.

·        Help maintain strong relationships and consistent communication with all Beam physicians, ensuring they remain informed, engaged, and supported while promoting collaboration across the physician group.

·        Draft, edit, and coordinate executive correspondence, presentations, reports, briefing documents, and other high-quality communications.

·        Prepare meeting summaries, executive updates, action items, and follow-up communications.

·        Ensure important communications receive timely responses and that commitments are tracked through to completion.

·        Help maintain consistent messaging and a professional public image across internal and external communications.


Leadership Accountability & Project Execution

·        Attend leadership and strategic meetings.

·        Capture decisions and convert them into action plans with owners and deadlines.

·        Follow up with executives, physicians, managers, and project leaders to ensure commitments are completed.

·        Support physician engagement initiatives through effective communication, follow-up, and coordination across Beam's physician group.

·        Support projects across operations, research, physician initiatives, and organizational priorities.


Digital Brand & Business Development

·        Own the digital presence of Beam Radiology and Dr. Olivier Clerk.

·        Develop and execute a strategic content calendar.

·        Coordinate content creation with internal and external partners.

·        Track analytics and optimize physician recruitment, referrals, partnerships, and lead generation.


Global Leadership & International Engagement

·        Coordinate international society meetings, conferences, travel, and executive activities.

·        Interact with world-leading physicians, researchers, and industry partners.

·        Support Dr. Clerk's international leadership responsibilities.


Fellowship Program Operations

·        Coordinate recruitment, onboarding, scheduling, and administration for approximately two fellows annually.

·        Serve as the operational contact for fellows and faculty.

Dr. Olivier Clerk is the Founder and Chief Medical Officer of Beam Radiology and a fellowship-trained Diagnostic and Interventional Pain Physician.


His work spans clinical care, research, physician education, entrepreneurship, healthcare innovation, and leadership within international professional societies. This role offers exceptional exposure to executive leadership, research, operations, and global collaboration.

Qualifications & Experience

Required

·        Postsecondary education in Business Administration, Healthcare Administration, Communications, Project Management, or an equivalent combination of education and experience.

·        Experience as an Executive Assistant, Chief of Staff, Operations Coordinator, Project Manager, or similar role.

·        Outstanding organizational, communication, and project management skills.

·        Advanced Microsoft Office Suite and collaboration tools proficiency.

·        Strong organizational skills and attention to detail.

·        Excellent communication and interpersonal skills.

·        Ability to manage confidential information with discretion and professionalism.

Preferred / Assets

·        Healthcare or professional services experience.

·        Experience with digital communications, content management, or social media.

·        Experience supporting senior executives or physician leaders.

·        Experience in healthcare operations, physician engagement, research, or medical education environments.

·        Familiarity with marketing, business development, or strategic communications initiatives.

Work Schedule & Environment

·        Schedule: Monday to Friday, standard business hours with flexibility as required.

·        Location: In-person in Calgary, Alberta.

·        Travel: Occasional national and international travel may be required.

·        Work Environment: Fast-paced executive and healthcare environment requiring discretion, adaptability, and strong organizational skills.
