JOB SUMMARY

The Receptionist is responsible for performing customer reception activities such as switchboard operations, answering questions or inquiries of a general nature, determining appropriate directions for business inquiries and issuing messages. They perform routine operational duties such as receiving and distributing mail and correspondence, photocopying materials, maintaining files and other responsibilities assigned.

ESSENTIAL DUTIES

The duties listed below may not include all responsibilities that the person in this role may be asked to perform. Incumbent may be required to perform other related duties as assigned.

  • Greets and welcomes customers, visitors, board members, community partners, and vendors in a professional and courteous manner. Notifies appropriate staff members of visitor arrivals and helps as needed.

  • Answers, screens, and directs incoming telephone calls to the appropriate individuals or departments while providing exceptional customer service.

  • Handles routine inquiries and customer service requests, takes and relays messages, and ensures timely follow-up when appropriate.

  • Provides coverage and support for customer-facing areas throughout the Main Bank, helping maintain a positive customer experience across multiple floors.

  • Processes incoming and outgoing mail, packages, and deliveries, including time-sensitive payment correspondence and other critical banking documents.

  • Assists in scheduling and coordinating the bank's courier activities.

  • Operates personal computer and applicable software systems to maintain visitor logs, package tracking logs, mail logs, and other department records.

  • Supports conference room management and meeting logistics, including room reservations, room setup and preparation, visitor assistance, coordination of lunches and catering, and ensuring meeting spaces are properly maintained and ready for use.

  • Assists with internal and external meetings and events, including those involving customers, board members, community organizations, vendors, and business partners.

  • Coordinates the ordering, inventory management, and distribution of common branch supplies, including coffee, creamers, and other breakroom essentials.

  • Performs a wide variety of clerical and administrative duties related to bank operations, including filing, document preparation, stuffing envelopes, filing check orders and statements, and maintaining office supplies. Additionally, the receptionists also oversee the travel arrangements throughout all regions.

  • Assists with special projects, departmental initiatives, and operational needs as business demands arise, providing administrative and logistical support across various areas of the organization.

  • Assists with promotional item inventory, ordering, distribution, and event-related coordination to support employee programs, customer events, community involvement activities, and other organizational initiatives.

  • Maintains professional appearance of reception and common areas to ensure a welcoming, organized, and customer-focused environment.

  • Other duties as assigned.

QUALIFICATIONS

  • High School diploma or general education degree (GED), or equivalent required.

  • Minimum 1 year of prior customer service or receptionist experience preferred.

  • Bilingual- English/Spanish required

  • Excellent communication skills by phone and in person.

  • Proficient computer skills with knowledge of Microsoft Office including, but not limited to, Word, Excel, PowerPoint, and Outlook, the Windows environment, and internet research skills.

  • Excellent time management, organizational and problem-solving skills with the ability to multi-task and work in a deadline-driven environment.

  • Must be self-motivated with strong initiative, high level of accountability, and attention to detail.

  • Ability to always maintain a high degree of ethical standards and complete confidentiality.
