Receptionist / Administrative Assistant

Position Summary:

The Foote School seeks a talented, energetic individual to join its staff as a Receptionist / Administrative Assistant. The Foote School is an independent Kโ€“9 all-gender day school in New Haven, Connecticut. We believe children learn best when meaningful challenge is balanced with time to be children, so our days combine experiential learning, thoughtful inquiry, and space to grow. 

The Receptionist / Administrative Assistant is an integral part of The Foote School, responsible for managing the reception area and supporting the Business Office and Admissions Office. This position is responsible for maintaining a professional image, a friendly environment, and a high level of customer service as the first point of contact for visitors to the school. This position reports to the Associate Head of School and Chief Financial Officer.

The Receptionist / Administrative Assistant role requires managing highly confidential information, superior administrative and organization skills, and comfort with problem-solving under pressure. This position requires strong interpersonal and communication skills, and the flexibility to balance day-to-day priorities with longer-term goals and projects.

Essential Duties and Responsibilities:

  • Welcome and direct visitors, answer and route calls, and set a warm, professional tone at the front desk
  • Manage student attendance in Veracross and coordinate bus transportation through PikMyKid, including registrations and communication with vendors and families
  • Handle incoming and outgoing mail and deliveries, support book and supply orders, and school-wide room, space, and van reservations
  • Manage admissions files in Veracross, scanning and uploading documents, following up with schools, and confirming each applicant file is complete
  • Prepare admissions mailings and support events with name tags, registration forms, food orders, and email communication
  • Partner with security personnel and other offices to keep daily operations running smoothly, and support the Crisis Team during drills and emergencies

Professional Skills and Personal Qualifications:

  • Associate's degree required, bachelor's preferred, with one to three years in an office setting. Independent school experience is a plus
  • Excellent organization, time management, and attention to detail, with the judgment to prioritize under a deadline
  • Strong writing and interpersonal skills, and genuine ease with students, families, and colleagues from all walks of life
  • Proficiency with Google Suite and comfort with data entry
  • Discretion with confidential school information
  • Warmth, humor, trustworthiness, and the instinct to anticipate a problem before it arrives

Compensation will be commensurate with experience and qualifications. This is a full-time, 12-month, hourly, non-exempt position. The school-year job hours are Monday - Friday, 7:30 a.m. - 3:30 p.m.; summertime hours are 8:00 a.m. - 4:00 p.m. 

Hourly Compensation Range: $21.00 - $26.00/hour 

($43,000 -$55,000 annually)
