We offer competitive benefits and the ability to work with a team of talented individuals. We are currently recruiting for a Client Solutions Associate/Purchasing Agent role in our Santa Ana, CA location. Listed below are the requirements for the position.

Position Summary

The Client Solutions Associate / Purchasing role supports Sales Professionals and customers by managing sales orders and purchase orders from entry through delivery and billing. This position serves as a key liaison between customers, Sales Representatives, vendors, and internal teams to ensure accurate order processing, timely fulfillment, pricing integrity, and strong customer relationships. The role requires flexibility to shift between customer service and purchasing responsibilities based on business needs and urgency.


Key Responsibilities

Customer Service & Purchasing

  • Process customer sales orders via phone and email from entry through delivery.
  • Respond to customer and Sales Representative inquiries regarding orders, pricing, and order status.
  • Assist Sales Professionals with daily duties and special projects, including preparing quotations, maintaining pricing, margin accuracy, and coordinating samples or artwork.
  • Act as a liaison between customers, Sales Representatives, and internal teams to ensure clear and timely communication.
  • Maintain reports for Sales Representatives and customers.
  • Provide backup coverage for team members to ensure continuity in the sales process.

Purchasing & Order Coordination

  • Enter and manage purchase orders for inventory and applicable agreements.
  • Obtain purchasing quotes and coordinate order placement with vendors.
  • Track purchase orders through delivery, receiving, and preparation for billing.
  • Monitor and follow up on ETAs, delays, backorders, stock levels, costs, and margins.
  • Coordinate closely with vendors, warehouse, and Accounting teams on purchasing activity.

Additional Responsibilities

  • Transition between customer service and purchasing functions based on business priorities.
  • Support multiple Sales Representatives and projects simultaneously.
  • Perform other related duties as assigned to support sales growth and operational efficiency 
Requirements:
  • Strong verbal and written communication skills  with a professional, customer-focused approach.
  • Excellent organizational skills with the ability to prioritize and manage multiple tasks.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently with minimal supervision.
  • Strong interpersonal skills.
  • Comfortable working in a fast-paced, dynamic, and  evolving environment.
  • Flexibility to move between Customer Solutions and Purchasing responsibilities as urgency requires.
  • Ability to work full-time in an in-office setting.

Education & Experience

  • High school diploma or GED required.
  • Working knowledge of Microsoft Office (Word, Excel, Outlook).

Physical Requirements

  • Ability to sit at a desk and work on a computer for extended periods.
  • Ability to move throughout the facility as needed.
