Job description

FIGS is seeking a Associate, People Operations & Systems to support the administration of People systems, benefits operations, compliance programs, and employee experience platforms. This role serves as a key member of the People Team, helping ensure employee data integrity, operational excellence, compliance readiness, and a seamless employee experience.
The ideal candidate is highly organized, detail-oriented, systems-minded, and passionate about building scalable People processes.
What You'll Do
People Systems Administration
  • Serve as primary administrator for ADP and related people systems.
  • Maintain employee data integrity, workflows, system configurations, permissions, and reporting.
  • Assist with system configurations, workflows, permissions, and reporting.
  • Coordinate vendor file feeds and system integrations.
  • Support testing and implementation of system enhancements and new functionality.
  • Identify opportunities for new system integrations with ADP with a focus on driving operational efficiencies across FIGS.
  • Maintain system documentation and process guides.
  • Serve as administrator for NAVEX and related compliance platforms.
  • Partner with stakeholders to identify automation opportunities and process improvements.
Employee Experience Platforms
  • Serve as system administrator for Culture Amp and Workvivo.
  • Maintain platform configuration, permissions, workflows, integrations, and ongoing maintenance.
  • Coordinate survey setup, testing, participant management, and reporting distribution.
  • Maintain Workvivo audience structures, user access, and platform governance.
  • Create and maintain SOPs and administrator documentation for People platforms.
Compliance Operations
  • Maintain the People Compliance Calendar and track key deadlines.
  • Coordinate harassment prevention training assignments and reporting.
  • Coordinate administration of SB553 Workplace Violence Prevention Program requirements.
  • Assist with EEO-1 and DFEH reporting and supporting data audits.
  • In partnership with WTW, coordinate annual benefits notices, including CHIPRA, Medicare Part D, HIPAA, and WHCRA communications.
  • Assist Workplace team with administration of OSHA compliance requirements across all sites.
  • Support ACA reporting activities, Form 5500 preparation, and 401(k) audit requests.
  • Maintain compliance documentation and audit files.
Qualifications
  • 3+ years of experience in People Operations, HRIS, HR Operations, Benefits Administration, or a related field.
  • Experience administering ADP, Workday, UKG, or similar HR systems.
  • Experience with Culture Amp, Workvivo, NAVEX, or similar employee experience and compliance platforms preferred.
  • Strong understanding of HR compliance requirements across multiple states
  • Strong understanding and execution of HR operational processes.
  • Experience supporting benefits administration and vendor management.
  • Strong project management and process improvement skills.
  • Advanced Excel and reporting capabilities.
  • Exceptional attention to detail and organizational skills.
  • Ability to manage multiple priorities and stakeholders in a fast-paced environment.

FIGS Compensation and Benefits
Pay Range
  • At FIGS, your base salary is one part of your total compensation package. This role's base salary range is between $75,000 and $85,000. Actual base salary is determined based on a number of factors, including but not limited to your relevant skills, qualifications, and years of experience.
