Job description

Job Summary:

The Director of Administrative Services serves as a staff resource in support of the pastor/administrator, fulfilling parish administrative needs in financial management, record keeping, H.R. responsibilities, and payroll.


Knowledge, Skills, & Abilities:

K: Knowledge

  • Associate degree in ACCOUNTING or its equivalent required.
  • Work experience in business administration, accounting, or finance preferred.
  • Working knowledge in MS Office products and QuickBooks, or similar accounting software.
  • Must have a valid driver’s license for the State of Wisconsin.
  • Practicing Catholic preferred.

  • Strong organizational skills.

  • Ability to multitask and prioritize.
  • Ability to make decisions, attentive to details, and troubleshoot.

Duties and Responsibilities:


Financial Responsibilities

· Meets once a week with the Pastor/Administrator to inform him of the financial health of the parish, potential areas of concern, and other financial matters as needed or requested.

· Maintains an accurate filing, recordkeeping, and reporting system for all parish financial matters.

· Prepares monthly, quarterly, and year-end reports for the Pastor/Administrator, the parish, Archdiocese, and auditors.

· Administers a cash flow management system with purchasing and payment schedules clearly defined.

· Prepares, administers, and reviews/monitors the budget in collaboration with the Pastor, the Finance Council, and other committees.

· Monitors the collection, counting, recording, depositing, and reconciling of parish and school revenue from all sources. Monitors all expenditures for the parish and school.

· Parish contact with financial institutions and the Archdiocese’s office of Finances, Human Resources and Stewardship.

· Ensure internal controls are consistent with Archdiocesan policies.


Managerial Responsibilities

· Assists Pastor/Administrator with his managerial duties, as needed.

· Attends staff meetings and other meetings at the request of the Pastor/Parish Administrator.

· Acts as a resource (not member) for Finance Council.

· Participate with the Business Administrators Archdiocese of Milwaukee (BAAM) professional group.

· Supervises Administrative Assistant.


Human Resources Responsibilities

· Meets once a week with the pastor to inform him of all HR-related matters at the parish and school that they are aware of or anticipate.

· Assists the Pastor/Administrator in the Development and communication of policies and procedures

· Administers salary and benefit policies as directed by the Pastor/Administrator.

· Ensure employees are paid on the established pay schedule and in accordance with State and Federal laws.

· Develops, documents, and administrates staff recruiting process that meets the needs of ministry area leaders and ensures compliance with all state and federal laws.

· Supports ministry areas in the development of training and annual performance appraisals/development plans as directed by the Pastor/Administrator.

· Maintain all employee records to ensure compliance with all state and federal employment laws.


Communications

· Greets and assists parishioners/parents/students/guests when Administrative Assistant is not present.

Open communication with the Pastor/Administrator

Other administrative duties as assigned by the Pastor/Administrator


Salary range: 65K - 70k
