Operations Administrator

Core Role

The Operations Administrator is the single point of contact for all end-user service requests. This role manages scheduling for daily requests, including deliveries, installations, pick-ups, and moves, ensuring efficiency and alignment with customer demands and operational goals.

Primary Duties and Responsibilities
  • Maintain open communication with customers and adhere to the Sundown Rule.
  • Establish daily manpower requirements based on service requests.
  • Schedule and confirm deliveries with customers in advance.
  • Maintain accurate records for all pick-ups and deliveries.
  • Print, review, and separate daily tickets.
  • Review returned tickets for approval and updates.
  • Manage weekly and monthly reports.
  • Handle customer invoicing and reporting.
  • Identify process improvements and recommend changes.
  • Place small product and service orders as needed.
Other Duties and Responsibilities
  • Communicate discrepancies with Operations Manager.
  • Work with customers to resolve scheduling issues.
  • Maintain up-to-date schedules.
  • Assist with managing vehicles, equipment, and supplies.
  • Maintain a professional attitude.
  • Work overtime as needed. (40hr work week scheduled, depending on work tempo, may be as much as 45 hours.)
  • Perform other duties as assigned.
Authority & Decision-Making
  • The Operations Administrator has the authority to adjust daily schedules as needed to meet operational demands and maintain efficiency.
  • All schedule changes must align with direction or notification from the Operations Manager.
  • Responsible for communicating all schedule changes promptly to team members and customers.
  • Empowered to proactively adjust schedules to optimize labor efficiency and prevent delays.
  • Ensures clear and immediate communication of all changes to crews, customers, and stakeholders.
Education and/or Experience
  • Associate degree
  • Minimum 4 years related experience preferred.
  • Strong computer skills.
  • Excellent organization and communication skills.
  • Ability to work in a team environment.
  • Ability to work overtime as needed.
