Job Summary

The Manager, Biospecimen Operations, is responsible for oversight of and leadership of all biospecimen activities and staff. The Manager, Biospecimen Operations will ensure compliance with and proper execution of all Biospecimen Operations policies and SOPs. The Manager, Biospecimen Operations, will create and implement policies and procedures for the Biospecimen Operations that will assist in attaining corporate and departmental goals, achieve metrics and high levels of client satisfaction.

Essential Duties and Responsibilities

  • Oversee day-to-day biospecimen operations. 
  • Manages the Biospecimen Operations staff and works with Supervisors to coordinate their work schedules.
  • Oversee the procurement, installation, qualification, maintenance, and repair of freezers and other equipment used in Biospecimen Operations.
  • Reviews customer requests for service, assessing feasibility, needs for additional staffing or equipment, and estimated fees as appropriate.
  • Development of new service offerings for Biospecimen Operations.
  • Exhibits a thorough understanding of sample management requirements for each protocol.
  • Provide leadership of teams toward a common objective.
  • Responsible and accountable for all activities and outcomes of assigned personnel.
  • Responsible for ensuring that all data used for billing is accurate.
  • Reviews departmental financials to ensure accuracy of billing activities and revenue for Biospecimen Operations.
  • Responsible for monitoring SOW to ensure that Biospecimen Operations activities meet contractual obligations.
  • Responsible for metrics and new business processes that align with a corporate strategy and achieve consistent high levels of client satisfaction.
  • Responsible for recommendations and solutions that increase the likelihood of consistent operational success.
  • Develop appropriate best practices resulting in standardized and streamlined processes and efficient use of resources.
  • Implement and monitor processes that ensure appropriate escalation of issues and continuous, appropriate communication of issues across the organization.
  • Develop, revise, review, and approve relevant SOPs.
  • Communicate regularly with Director, Biospecimen Operations.
  • Ensure all service failures are identified, investigated, and resolved appropriately. Proactively manage and drive the resolution of client issues. Promote continuous process improvement.
  • Provide general operational knowledge to Management.
  • Work closely with the Director, Biospecimen Operations, staff and Executives to develop strategic initiatives that focus on overall performance metrics, client satisfaction, and leading indicator mechanisms that are meaningful and drive quality and efficiency improvements.
  • Performs other related duties and tasks as necessary or as assigned.

Education and Experience

  • Bachelor’s degree, preferably in a life science with 3 years management experience; or associate’s degree in a science or health-related field with 5 years management experience
  • Proven management/supervisory ability and experience.

Skills and Ability

  • Excellent attention to details, strong planning and problem-solving skills. 
  • Strong organization and time management skills, communication, multitasking, and interpersonal skills.
  • Exceptional listening and verbal comprehension skills, including ability to translate client needs to team members, good working relations with colleagues and customers.
  • Ability to make quick but well-thought-out decisions and adapt to changing environments and requirements.
  • Self-motivation and ability to work well independently as well as using a collaborative team approach.
  • Ability to adhere to established timelines, processes and procedures.
  • Proficient in Microsoft Word, Excel, and database software.  SharePoint and Visio experience preferred.
  • Customer service/client relationship management skills.
