The Project Specialist supports the successful execution of operational projects by coordinating project activities, tracking schedules, managing project documentation, and facilitating communication between internal teams and customers. This role serves as a key liaison between Operations, Supply Chain, Manufacturing, Logistics, and Project Management to ensure projects remain on schedule and stakeholders are informed of progress. The Project Specialist plays a critical role in shipment coordination, project status reporting, issue tracking, and administrative support for the Operations Project Management team.
POSITION DUTIES & RESPONSIBILITIES include the following, other duties as assigned
Project Coordination
  • Support the Project Manager in planning, organizing, and executing operational projects.
  • Maintain project schedules, timelines, and milestone tracking tools.
  • Monitor project progress and identify potential delays or risks.
  • Assist in coordinating activities between Operations, Engineering, Manufacturing, Purchasing, Logistics, and Project Management teams.
  • Schedule and facilitate project meetings, including preparing agendas and documenting meeting minutes.
  • Coordinate outbound project-related shipments to customers and installation sites.
  • Work closely with Shipping, Supply Chain, and Logistics teams to ensure timely delivery of project materials.
  • Track shipments and provide status updates to project managers and installation teams.
  • Assist in resolving shipment discrepancies, delays, or transportation issues.

Communication & Reporting
  • Prepare the Material Readiness Tracker (MRT) for customers.
  • Provide regular project status updates to Project Managers.
  • Prepare project reports, dashboards, and progress summaries.
  • Communicate project schedule changes, material availability concerns, and critical milestones.

Documentation & Administrative Support
  • Maintain project files, records, schedules, and correspondence.
  • Update project tracking systems and databases.
  • Assist with document control and project-related reporting requirements.
  • Support the creation of project presentations, reports, and customer communications.
  • Ensure all project documentation is properly organized and archived.

Continuous Improvement
  • Identify opportunities to improve project management processes and communication workflows.
  • Assist in developing standard operating procedures and best practices.
  • Support departmental initiatives focused on efficiency, customer satisfaction, and operational excellence

POSITION REQUIREMENTS:
  • Associate's degree in business, Operations, Supply Chain, Logistics, Project Management, or related field preferred.
  • 3-5+ years of experience in project coordination, logistics, operations support, supply chain, customer service, or related field.
  • Experience working in a manufacturing or industrial environment preferred.
  • Experience coordinating schedules, shipments, or cross-functional projects is a plus.
  • Strong organizational and time management skills.
  • Excellent verbal and written communication abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong attention to detail and problem-solving skills.
  • Proficiency with Microsoft Excel, Word, Outlook, Teams, and project tracking systems.
  • Ability to work effectively with cross-functional teams.

PHYSICAL REQUIREMENTS:
  • Stand, walk, or be mobile for up to an eight-hour shift; ascend and push, and pull up to 50 lbs.; bend, twist and reach to check freight, stack boxes, and label.
