Administrative Assistant
Pay: $18.00 - $22.00 per hour
Temporary assignment 6 months +

Position Overview
The Administrative Assistant will provide high-level administrative, document, scheduling, and communication support to leaders and teams in a professional corporate environment. This role requires expert proficiency in Microsoft Word, Excel, and PowerPoint; familiarity with document management solutions; excellent written and verbal communication skills; strong judgment; and the ability to manage sensitive and confidential information with discretion.

Key Responsibilities
  • Prepare, format, edit, proofread, and maintain professional documents, correspondence, reports, presentations, spreadsheets, forms, and other business materials.
  • Create polished Word documents using advanced formatting, templates, tables, styles, headers, footers, tracked changes, and version control practices.
  • Develop and maintain Excel workbooks, including tables, formulas, filters, charts, pivot tables, reconciliations, and basic data analysis.
  • Prepare professional PowerPoint presentations, including executive-ready slides, charts, graphics, formatting, and speaker notes.
  • Maintain calendars, schedule meetings, coordinate logistics, prepare agendas, capture meeting notes, and follow up on action items.
  • Draft, edit, and distribute clear written communications, including emails, memos, meeting summaries, and internal announcements.
  • Support special projects, reporting requests, process documentation, travel coordination, expense reporting, and general administrative needs as assigned.
Required Skills and Competencies
  • Expert-level proficiency in Microsoft Word, Excel, and PowerPoint.
  • Working knowledge of document management solutions, electronic filing practices, version control, and document retention concepts.
  • Excellent written communication skills, including grammar, proofreading, editing, formatting, and business writing.
Qualifications
  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum of 3–5 years of administrative assistant experience in a corporate, professional services, engineering, construction, industrial, or similarly complex business environment preferred.
  • Demonstrated experience supporting managers, executives, departments, or project teams.
  • Experience preparing executive-level documents, presentations, spreadsheets, meeting materials, and written communications.
  • Experience working with document management, records management, SharePoint, or similar systems preferred.
