Job Title: Accounting Assistant Job Classification: Professional

Reports to: Accounting Manager Supervisory Role: No

Education: Associate’s degree in accounting or business required.

  • Associate’s degree in business or accounting/finance required.
  • Ability to effectively manage time related to daily tasks.
  • Knowledge of basic bookkeeping procedures.
  • Demonstrates good communications and public relations skills.
  • Demonstrates capability to accurately manage detailed information.
  • Effective social interaction and organizational skills and the ability to perform a variety of tasks efficiently.
  • Must be a licensed driver with an automobile that is insured in accordance with state and/or Organization requirements and is in good working order.

General Overview

The Accounting Assistant role combines financial workflows with fleet program administration in a fast-paced environment, dedicating roughly 55% of the role to management of the Fleet Program and 45% to accounting support. This position relies on strong interpersonal skills for daily driver coordination alongside high attention to detail for managing debits, credits, and journal entries.

Duties and Responsibilities

  • Oversees the administration and financial compliance of the Company’s Fleet Program.
  • Set up and terminate driver profiles for employees in the Fleet Program.
  • Evaluate employees recommended for the program by auditing their mileage qualifications and MVR records before routing to the internal representative for final approval.
  • Assists with the annual reordering of fleet vehicles for the Fleet Program.
  • Coordinate directly with our Enterprise representative to manage vehicle registrations and licensing.
  • Assists with monthly financial statement preparation and month-end close.
  • Log any deposits received via mail and distribute remits to the Billing Department, if applicable.
  • Assisting the financial department, other assistants, and the accounting manager as needed.
  • Filing, mailing, and other duties as needed.
  • Always maintains patient and organization confidentiality.
