Position Summary:
We are seeking a dynamic and forward-thinking data and analytics administrative coordinator who will bring their administrative expertise to the table and play a vital role in supporting multiple departments by managing critical data, assisting with invoicing and costing, and providing analytical and administrative support to Customer Success, Finance, Food Science & Quality, and Operations teams. This role ensures accuracy of information, timely reporting, and effective cross-functional communication to support efficient manufacturing and exceptional customer service.

You will be responsible for collaborating with multiple teams and departments, compiling data and preparing reports, as well as updating and maintaining systems and database platforms. Additionally, a firm grasp of business objectives is crucial for translating them into clear projects and company goals. Key Responsibilities:
Customer Service Support:
  • Prepare and process customer invoices accurately and in a timely manner.
  • Maintain customer records, pricing files, and order history within company systems.
  • Assist with creation of customer reports, sales summaries, and account performance metrics.
  • Serve as a liaison between Customer Success, Finance, and Operations to resolve billing or order discrepancies.

Financial & Costing Support:
  • Assist Finance with product costing, margin analysis, and data entry.
  • Compile and validate production and material usage data for cost reviews.
  • Maintain spreadsheets and dashboards used for financial and operational decision-making.
  • Support month-end reporting and reconciliation as needed.

Food Science & Quality Support
    • Assist the Food Science and Quality Director with organizing analytical data, product specifications, and testing results.
    • Help maintain documentation related to SQF, GMP, and regulatory compliance.
    • Enter and track quality metrics, laboratory results, and product evaluations.
    • Support preparation of customer documentation, COAs, and technical information.

Operations Support
  • Collect and analyze production data to support efficiency and continuous improvement initiatives.
  • Prepare reports on yields, downtime, labor, and material usage.
  • Assist with scheduling, inventory tracking, and coordination between departments.
  • Maintain accurate filing systems for operational record

Required Skills & Qualifications
  • Associate degree in Business, Accounting, Data Analytics, or related field (or equivalent experience).
  • 2+ years of administrative or data-focused experience in a manufacturing environment preferred.
  • Strong proficiency in Microsoft Excel, ERP/MRP systems, accounting systems, Quick Books, and data reporting tools.
  • High attention to detail with strong analytical and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Understanding basic accounting, invoicing, and costing principles.
  • Experience in food manufacturing, SQF, or quality systems a plus.
