Job description

Job Purpose:

To provide comprehensive administrative and operational support to the Corporate Events Manager and Events Department, ensuring the successful planning, coordination, and execution of both virtual and in-person events that support client engagement, acquisition, and business growth. Serving as a key departmental resource, this role is responsible for managing event registrations, attendance tracking, reporting and audits, client communications, logistical coordination, and event operations while maintaining exceptional accuracy, professionalism, and customer service. 


Key Responsibilities:

Registration & Attendance Management:

  • Call registered guests to confirm participation and attendance for live events.
  • Register clients for all of Anderson’s educational workshops, seminars, and events.
  • Monitor registration data and attendance metrics to support event performance analysis.
  • Ensure all attendee information is accurately recorded and maintained within company systems.

Client Communication & Customer Service:

  • Serve as a primary point of contact for event-related inquiries via phone and email.
  • Provide timely, professional, and accurate information regarding upcoming events and workshops.
  • Assist prospective and existing clients with event registration and related questions.
  • Deliver exceptional customer service while maintaining a positive and professional company image.

Event Operations & Departmental Support:

  • Assist the Events Team with internal events and any necessary tasks.
  • Help prepare materials and coordinate logistics for events.
  • Provide on-site support for in-person events, ensuring smooth operation.
  • Serve as a key administrative and operational resource for the Events Department, supporting departmental priorities, event execution, reporting, process improvements, and special projects to ensure seamless operations.
  • Support the planning, coordination, and execution of internal and external events, ensuring all event objectives, timelines, and operational requirements are met.
  • Coordinate event-related administrative activities before, during, and after events, including registration management, attendee communications, reporting, and follow-up activities.
  • Prepare event materials, attendee resources, and logistical requirements to support successful event delivery.
  • Provide on-site support for in-person events, including occasional off-site events, ensuring smooth operations and a positive attendee experience.
  • Serve as a departmental liaison by coordinating with internal teams, event speakers, vendors, and clients to ensure effective communication, timely follow-through, and successful event execution.
  • Collaborate with cross-functional teams to support event initiatives and continuously improve departmental processes and efficiencies.
  • Assist the Corporate Events Manager with departmental projects, operational initiatives, and other duties as assigned.

Administrative Support & Reporting:

  • Utilize Microsoft Office, Google Workspace, Salesforce, and other business systems to support departmental operations. 
  • Maintain accurate and up-to-date records of event activities, registrations, attendance, client interactions, and departmental operations.
  • Accurately input, audit, and maintain event-related reports, including Event Billing Reports, Calendar Automation Sheets, Salesforce Event Reports, and Virtual Event Reporting and Time Stamp Documentation.
  • Prepare and distribute post-virtual event reports to Event Managers, Speakers, and other stakeholders in a timely manner.
  • Assist with the reconciliation and verification of internal and external event attendance, bonus calculations, and billing records to ensure accuracy and timely reporting.
  • Monitor and maintain data accuracy across event management systems, reports, and databases.
  • Support departmental reporting requirements by compiling, organizing, and analyzing event-related data as needed.
  • Assist the Corporate Events Manager with administrative projects, process documentation, and other departmental duties as assigned.

Required Qualifications:

  • Must demonstrate strong attention to detail, excellent organizational skills, and be self-motivated. 
  • Minimum 1+ years of administrative, events, customer service, or related experience
  • Excellent verbal and written communication skills.
  • Advanced proficiency in Microsoft Office and Google Workspace.
  • Ability to manage multiple priorities and perform effectively under pressure.
  • Flexibility to work evenings and weekends, including Saturdays and Sundays, as required by event schedules.

Preferred Requirements

  • Associate's Degree Preferred
  • Experience with Salesforce CRM or similar customer relationship management systems.
