Job description

We are seeking a highly motivated and organized individual to join our team as a Marketing Coordinator for our engineering services firm. The ideal candidate will have excellent communication and project management skills, strong attention to detail, and a passion for producing high-quality proposals and marketing content.
Responsibilities:
  • Manage the entire proposal process, including coordinating with technical staff, writers, editors, and graphic designers to ensure the timely completion of high-quality proposals to potential clients.
  • Research and analyze Requests for Proposals (RFPs) and other client documents to determine the scope of work, proposal requirements, and evaluation criteria.
  • Collaborate with technical staff to develop and write proposal content that clearly articulates our capabilities and value proposition.
  • Develop proposal outlines, schedules, and compliance matrices to ensure that all proposal requirements are met.
  • Review and edit proposal content for clarity, accuracy, and consistency with company messaging and branding.
  • Organize and manage proposal files, including version control, document formatting, and final production.
  • Develop and maintain a library of marketing and proposal content, including boilerplate text, graphics, technical data, resumes, project pages, brochures, presentations, and other marketing materials.
  • Maintain and monitor potential sources of opportunities/RFPs, using automated web-based search tools, to assure a steady stream of opportunities/RFPs to evaluate.
  • Use AI to help develop proposal documentation, and tailor for specific proposal requirements.
Requirements:
  • Bachelor's degree preferred in Business, Marketing, Engineering, Communications, or a related field.
  • At least 2 years of experience in proposal coordination in a related field.
  • Excellent written and verbal communication skills.
  • Strong project management and organizational skills.
  • Familiarity with software tools such as Microsoft Word, Excel, and Adobe Creative Suite, including InDesign, as well as AI tools such as Chatgpt.
  • Understanding engineering concepts and terminology is preferred.
  • Ability to work under tight deadlines and manage multiple proposals simultaneously.
  • Ability to establish relationships with potential clients and teaming partners.
