Program Overview

The Vehicle Administration function within Hyundai Motor American (HMA)is responsible for the end-to-end management of the company vehicle lease program, including vehicle ordering, delivery coordination, compliance, and lifecycle management. This role supports the lease program by ensuring a seamless customer experience, operational efficiency, and adherence to company policies and regulatory requirements.

Position Summary

The Receiving & Auction Associate supports the Vehicle Administration department by coordinating incoming and outgoing vehicles, as well as handling all associated administrative tasks, including damage claims, creating and maintaining vehicle files, and updating reports. This person will also routinely be required to help drive vehicles to and from offsite storage lots and help coordinate routine maintenance. The position plays a key role in maintaining program accuracy, operational efficiency, and policy adherence across HMA's lease program.

Key Responsibilities

Receive and process all incoming vehicles from Transporter and designate appropriate parking areas

Prepare and process all outgoing vehicles for Auction and designate appropriate staging areas

File, process, and track claims for transportation related damages

Drive vehicles from offsite vehicle storage location to main office as needed

Create vehicle files for all incoming vehicles, distribute to appropriate Vehicle Administration team members, move old files for records retention

Develop and utilize various ad-hoc reports to monitor, control, track and resolve accuracy/time sensitive issues

Process vehicles for necessary routine maintenance and service inspections

Support the Vehicle Administration management with various special projects

During down time, assist with vehicle car prep for Leases, Department Cars, Pool Cars, etc.

Qualifications

Required Qualifications

High school diploma or GED required

Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams)

Strong organizational skills with the ability to manage multiple priorities simultaneously

Excellent communication and customer service skills with a professional demeanor

High attention to detail and accuracy in documentation and compliance tasks

Valid driver's license with a clean driving record

Preferred Qualifications

Experience in an automotive or dealership environment preferred

Familiarity with vehicle administration, lease programs, or automotive operations

Experience with reporting, data tracking, or administrative analysis

Demonstrated ability to identify process improvement opportunities

The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets, experience and training, and other business and organizational needs. The disclosed range estimate may not have been adjusted for the applicable geographic differential associated with the location at which the position may be filled. At MSXi, it is not typical for an individual to be hired at the top of the range for their role and compensation decisions are dependent on the facts and circumstances of each case.
