What is an associate assistant?

Associate Assistants are entry-level professionals who provide administrative and clerical support to higher-level staff or teams within an organization. Their responsibilities often include scheduling meetings, managing correspondence, organizing files, and assisting with project tasks. This role serves as a starting point for many administrative careers and helps develop organizational and communication skills. Associate Assistants typically work under direct supervision and may advance to more senior administrative positions over time.

What are the key skills and qualifications needed to thrive as an associate assistant?

To thrive as an Associate Assistant, you need strong organizational abilities, attention to detail, and foundational administrative skills, often supported by a high school diploma or associate degree. Familiarity with office software such as Microsoft Office Suite, scheduling systems, and basic data entry tools is typically required. Excellent communication, time management, and problem-solving skills help you stand out in this supporting role. These capabilities ensure efficient office operations, effective support for teams, and smooth workflow management.

How does an associate assistant typically collaborate with senior team members, and what communication skills are most important in this role?

Effective communication—both written and verbal—is essential, as the role often requires relaying information between departments and ensuring that messages are accurate and timely. Building strong professional relationships and being proactive in clarifying instructions can help overcome common challenges, such as shifting priorities or handling confidential information. Developing these skills can also open doors to more advanced administrative positions within the organization.

Job description

There’s nothing easier to enjoy than a day at the spa. So if you would like to work within a sea of smiling faces, then look no further. We’re Hand & Stone (http://handandstone.ca/) , and we’ve got an opportunity for you to get into the wonderful spa industry, Hand & Stone is a group of luxury spas that offer something for everyone. Whether it’s massages, facials, or waxing and threading, you’ll find it here. And because we offer a variety of different packages and services, everyone walks away with exactly the experience they wanted. Now we’re hiring a Spa Associate/Assistant Manager to strengthen the outstanding customer service that makes for an unparalleled spa experience. That’s where you come in: As our new Spa Associate/Assistant Manager, you’ll be taking on a challenging and varied role in our friendly and relaxed location. This position will be equal parts customer service, receptionist, maintenance, administration, and sales: in other words, your support will ensure that every customer’s experience is seamless. At our reception desk, you’ll be taking phone calls, emails, and setting up appointments. Using your strong computer skills you’ll keep accurate records for our staff, letting them know what services are coming up on the schedule. Throughout the day, you’ll also help maintain and prepare facilities and rooms for our customers, including laundry, washrooms, and stocking supplies. In terms of sales, you’ll be ringing up customers on their way out, and letting them know about all the packages and extras we offer. Knowledge sells in our industry, and after experiencing our amazing services most people end up wanting more. So you’ll have plenty of opportunities to make a good commission.  You’ll be perfect for this role if you’re: Meticulous: you’re great with details, whether you’re scheduling or preparing rooms for our clients. Nothing gets past you. Independent: no one needs to be looking over your shoulder because you’ve always got an eye on the next task. You’re organized, and you use that skill in everything you do. Social: you love chatting with customers, getting to know them, and figuring out how our business can best suit their needs. A natural salesperson: you love sales, and would enjoy encouraging people to pamper themselves. Working at Hand & Stone This is a full time position with various hours 7 days a week, Monday to Sunday. Your wage will be competitive, commensurate with experience. You’ll also receive group benefits and employee discounts. You’ll work primarily out of our Woodbridge location – Weston Road/Major Mackenzie Drive (3621 Major Mackenzie Drive), however you will be required to frequently travel to our Richmond Hill location which is at Yonge street/Elgin Mills (10909 Yonge Street). We’ve got a small team you’ll be working with, so you’ll be joining a fun, friendly, and familiar group of people. We’re a relaxed and easygoing bunch, just like our customers after a day at the spa! This position is open because we’ve promoted from within, so you can believe us when we say you’ll have opportunities for growth in this role. Desired Qualifications: * Experience working reception, preferably in medical, paramedical, salon, spa or similar * Experience in a customer-facing role, preferably in a salon/spa  * Experience managing schedules, and familiarity working with scheduling software * Minimum education is High school or equivalent * Experience in sales would be a great asset   How to Apply: Our online application will give you the option to apply to this role as a complete person – not just a resume.
