What You'll Do:
The Parts Warehouse Associate / Administrative Support position is responsible for supporting daily warehouse operations while providing administrative assistance to the Parts Department. This role receives, organizes, stores, and distributes commercial truck and trailer parts, maintains accurate inventory records, processes related documentation, and assists with general office and customer-service responsibilities.
The ideal candidate is organized, dependable, detail-oriented, and comfortable balancing physical warehouse duties with administrative tasks in a fast-paced trucking, transportation, or dealership environment.
Essential Job Duties and Responsibilities:
Warehouse Responsibilities
  • Receive, inspect, count, and verify incoming parts and materials against purchase orders, packing slips, and invoices.
  • Identify and report damaged, missing, incorrect, or backordered items.
  • Label, organize, stock, and store parts in their designated warehouse locations.
  • Pick, pack, and prepare parts orders for internal departments, customers, shipping, or delivery.
  • Assist Parts Counter, Service, and Fleet personnel with locating and issuing parts.
  • Process parts returns, warranty items, cores, and vendor returns in accordance with company procedures.
  • Maintain accurate inventory records and enter parts transactions into the company's inventory-management system.
  • Participate in cycle counts, physical inventories, and inventory-reconciliation activities.
  • Monitor inventory levels and notify management of low-stock, obsolete, or frequently requested items.
  • Maintain a clean, organized, and safe warehouse, shipping, receiving, and parts-storage area.
  • Safely operate warehouse equipment, including pallet jacks, carts, and forklifts, when trained and authorized.
  • Follow all company safety policies and proper material-handling procedures.
Administrative Support Responsibilities
  • Enter purchase orders, receiving information, invoices, inventory adjustments, and other parts-related data into company systems.
  • Prepare, scan, organize, and maintain electronic and paper records, including packing slips, purchase orders, invoices, delivery receipts, and return documentation.
  • Answer telephone calls and emails and route inquiries to the appropriate team member.
  • Assist customers, vendors, technicians, and internal departments with routine parts-related questions.
  • Coordinate with vendors regarding order status, backorders, pricing, availability, and shipping updates.
  • Assist with scheduling parts deliveries, pickups, and intercompany transfers.
  • Prepare reports, spreadsheets, correspondence, and other department documents as requested.
  • Support invoice reconciliation and communicate discrepancies to the appropriate manager or department.
  • Maintain accurate vendor, customer, inventory, and transaction records.
  • Provide general clerical support, including filing, copying, scanning, data entry, and document distribution.
  • Communicate professionally with Parts, Service, Sales, Accounting, and other departments.
  • Perform other duties and special projects as assigned.
Required Qualifications:
  • High school diploma or equivalent.
  • One or more years of warehouse, inventory, shipping and receiving, parts, or administrative experience preferred.
  • Experience within the commercial trucking, transportation, automotive, heavy-equipment, or dealership industry preferred.
  • Basic knowledge of warehouse operations and inventory-control practices.
  • Strong data-entry, organizational, and recordkeeping skills.
  • Basic proficiency in Microsoft Outlook, Word, and Excel.
  • Ability to learn parts-catalog, inventory-management, and dealership-management systems.
  • Strong written and verbal communication skills.
  • Ability to accurately follow written and verbal instructions.
  • Ability to prioritize multiple assignments in a fast-paced environment.
  • Strong attention to detail and commitment to accuracy.
  • Ability to work independently and collaboratively as part of a team.
  • Forklift certification preferred or willingness to obtain certification after hire.
Preferred Qualifications
  • Familiarity with commercial truck and trailer parts.
  • Previous experience supporting a Parts or Service Department.
  • Experience with electronic parts catalogs or dealership-management systems.
  • Knowledge of purchase orders, invoices, shipping documents, warranty returns, and core-processing procedures.
  • Previous customer service or administrative support experience.
Physical Requirements:
  • Must be able to lift up to 50 pounds at times.
  • Must be able to pass post-offer drug screening, physical examination (including a lift test), and background check

  • $18-$22/hour (depending on experience and skills)
