TITLE: EXECUTIVE ASSISTANT
LOCATION: PINE BROOK, NJ (onsite 5 days a week)
JOB SUMMARY:
Firm X is seeking an experienced, full-time Executive Assistant to support the firm's co-founder in their New Jersey, office. The successful candidate will work full-time in our Pine Brook, NJ, office.
RESPONSIBILITIES:
  • Assist the co-founder in an extremely fast-paced, high energy environment
  • Acting as point of contact between the partner and internal or external colleagues
  • Position has considerable contact with sophisticated clients and requires advanced social skills
  • Providing administrative assistance, including writing emails on the partner's behalf
  • Managing the attorney's heavy calendar, coordinating meetings and appointments
  • Time entry using CenterBase
  • Answering direct lines in a timely and polite manner
  • Tracking CLE credits earned, including scheduling CLE courses and submitting certificates of completion to multiple states; keeping records
  • Making travel arrangements and detailed itineraries
  • Communicating calmly with partner, staff, attorneys, and clients
  • Organizing and coordinating marketing activity, tasks, travel and meetings
  • Communication both in written and spoken form
REQUIREMENTS:
  • Three (3+) years' experience as an Executive Assistant (prior experience as an Executive Assistant for a high-level executive preferred; law firm or professional services experience helpful)
  • Extensive calendaring/scheduling experience
  • Above average proficiency in MS Word, Outlook, Excel, Power Point and Adobe
  • Excellent communication, proofreading, organization and management skills
  • Ability to multitask and prioritize assignments
  • Great verbal and written communication skills
  • Professional discretion and exceptional attention to detail
