The Opportunity

We are seeking a dependable and detail-oriented Office Assistant to provide part-time, as-needed support across office operations. This role plays an important part in ensuring smooth day-to-day administrative and operational functions, including document management, mail handling, equipment coordination, and general on-site support. The ideal candidate is flexible, organized, and comfortable working with modern technology in a dynamic environment.

Key Responsibilities

Document & Records Management:

  • Support legacy projects by gathering, scanning, organizing, and filing documents in PDF and digital formats
  • Assist with records storage organization and maintenance

Office & On-Site Support:

  • Provide on-site office support as needed, including local errands
  • Retrieve, process, sort, and distribute incoming and outgoing mail

Equipment Coordination:

  • Partner with internal stakeholders to support laptop distribution for new employees
  • Manage laptop and equipment returns for departing employees

Technology Support:

  • Provide light on-site technical support, depending on skill level

Other Duties:

  • Perform additional administrative and operational tasks as assigned

Qualifications

  • High school diploma or equivalent required; college coursework or degree a plus
  • Comfortable using modern workplace applications and computers (e.g., email, basic office software, web-based tools)
  • Prior experience in an office, administrative, or support role is a plus
  • Strong organizational skills with attention to detail
  • Ability to work independently and manage changing priorities
  • Strong communication skills and a customer-service mindset

Technical Skills

  • Proficiency with Microsoft Office products (Outlook, Word, Excel) or similar tools
